2+ years of hands-on experience directly managing people — coaching, performance reviews, day-to-day accountability (not just coordinating projects).

Hands-on experience creating and managing social media content for a brand, event, or organization.

Hands-on experience processing event registrations using web-based tools. (We use proprietary in-house platforms — no specific software experience required.)

Hands-on experience with Salesforce.com or another large-scale CRM platform.

Position Overview

The Director of Event Operations leads a team of six event coordinators delivering the Potomac Officers Club and Executive Leadership Dinner Programs: 12 summits a year (300–800 attendees each, with multiple concurrent tracks combining keynotes and panels), roughly 100 executive-level dinners, and about 24 virtual events. Reporting to the CEO with day-to-day guidance from the VP of Operations and Technology, this senior-team role combines direct people management with ownership of sponsor relationships, registrations, budget, and event execution in a fast-paced, deadline-driven environment. We are expanding into multi-day events, so experience with that format is a plus.

Key Responsibilities

Team Leadership & Management

• Take ownership of each event end-to-end, breaking it into components and distributing them across the six-person coordinator team based on individual strengths; supervise, mentor, coach, and conduct performance reviews.

• Delegate effectively, balance workloads, and serve as the team's escalation point for operational challenges; support onboarding and training as the team grows.

• Report program status, performance metrics, and event outcomes to the CEO on a regular basis, in coordination with the VP of Operations and Technology.

Sponsor & Stakeholder Relations

• Direct the team members who serve as primary sponsor points of contact; serve as the escalation point for internal or external issues involving members, customers, sponsors, or cross-departmental contacts.

• Oversee the full sponsorship cycle — engagement, contracting, kickoff/check-in/debrief calls, fulfillment, and retention — and drive strategies to grow sponsorship revenue through upselling and long-term partnerships.

• Work across the organization, interfacing directly with Marketing, Social Media, Sales, and outside venue partners to keep every team aligned from planning through event day.

Program, Event, Budget & Registration Coordination

• Oversee event planning, budgeting, and logistics for both programs, including multi-track summit programming (concurrent keynotes and panels).

• Personally manage event registrations end-to-end using our proprietary tools; manage your team's RSVP tracking and attendee communications for dinners.

• Coordinate speaker logistics and on-site reception for dinners and summits; collect speaker/panelist bios and headshots (roughly 500 per year).

• Serve, or manage your team to serve, as primary liaison for Executive Leadership Dinner Programs — chairman kickoff, planning, speaker prep, and debrief calls; own event timelines, run-of-show documents, and post-event reporting.

• Track spend against budget and manage profitability across the program portfolio; travel locally to member events as required (primarily Northern Virginia).

Marketing & Social Media

• Personally create and manage social media content promoting events, sponsors, and member participation; partner with sponsors and internal teams on promotional content and ensure consistent brand representation.

Qualifications

Required

• Bachelor's degree in Marketing, Business, Communications, or a related field (or equivalent event planning experience).

• 4–5+ years of event management experience, including 2+ years of hands-on supervisory experience directly managing, coaching, and holding a team accountable.

• Hands-on experience with social media content creation and with processing event registrations via web-based tools (we use proprietary systems; specific platform experience not required).

• Hands-on experience with Salesforce.com or another large-scale CRM platform.

• Experience managing budgets and protecting profitability across multiple concurrent programs.

• Exceptional communication skills, comfortable engaging C-suite executives, sponsors, and internal stakeholders; strong organizational and project management skills across multiple simultaneous programs.

• Highly proficient in Google Workspace (Docs, Sheets, Slides).

• Reside within commuting distance of Vienna, VA 22182 and able to work on-site 3–5 days/week depending on event volume (occasional evenings); no relocation assistance.

Preferred

• GovCon or association/membership industry experience; B2B sponsor or partner relationship management; multi-day event experience is a plus as we expand into that format.

Compensation & Benefits

$120,000 base salary + variable bonus = $140,000 total target compensation.
