DESCRIPTION

Summary Under the supervision of the Finance Senior Officer, the Finance and Logistics Assistant , will be responsible for assisting program with the day-to-day management of finance, logistics and procurement at provincial level. Description Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time. Responsibilities: A. Support for Financial Management Ensure the day-to-day management of the provincial petty cash fund in accordance with established procedures; Prepare advance requests and payment requests; Verify the conformity of the supporting documents before submitting them for validation; Ensure that advance payments are processed within the required timeframes; Support the preparation of periodic financial reports; Classify and archive physical and electronic financial documents; To monitor provincial spending and contribute to its reconciliation; Participate in internal and external audit exercises. B. Support for Logistics Management Ensure the management of project equipment and assets at the provincial level; Keep inventories of goods and consumables up to date; Organize the receipt, storage and distribution of supplies; Ensure the monitoring of equipment use and maintenance; Ensure proper management of fuel and vehicles allocated to the project; Organize the travel and missions of the project teams; Ensure compliance with current logistical procedures. C. Purchasing and Supply Prepare procurement files in accordance with applicable procedures; Request and analyze supplier quotes; Ensure order tracking until delivery; Verify the quality and conformity of the goods and services received; Create and archive purchase records; Contribute to updating the supplier database. D. Administrative Support Assist in the organization of workshops, training sessions and meetings; Ensure the administrative archiving of the project; Prepare the administrative documents required for field missions; Contribute to the production of periodic administrative reports. REQUIREMENTS

Education & Experience: Bachelor’s degree in accounting or finance management or related field Accurate and performance-oriented accountant with over 5 years of experience in finance functions. Experiences cash managing, bookkeeping, financial reporting, and statement reporting, have worked in NGOs and used accounting software. Other Qualifications: Comply with VillageReach’s COVID-19 vaccination policy which requires full vaccination for in-person work or travel. Established cultural competency in partnering with racial, cultural and linguistically diverse groups. Demonstrated understanding of challenges with working in rural, underserved and low-income context; experience living in and/or working in a low-income country a plus. Proficient in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel) and comfortable in a fast-paced technical environment. French and English required Accounting or finance degree preferred Environment and Physical Demands: VillageReach has no private offices, employees work in a shared, open environment with task and conference rooms accessible to employees for privacy and meetings. The noise level in the work environment is usually quiet. Due to the time zone differences between our USA office and our Country Offices and location of other global staff, we have established core collaboration hours between 6am Pacific Time and 18:00 South Africa Time (GMT+1) Monday through Thursday. All staff, regardless of location are expected to be available between these hours. During Daylight Savings Time, this allows for 12 hours per week (3 hours/day) of collaboration time and during Standard Time, 8 hours (2 hours/day). We do not hold cross-office meetings on Friday. Include how much time (90%) of the work is spent sitting, versus standing and what physical demands will be asked of a person. Include what weight (no weight) will need to be lifted and vision requirement. Also include any other environmental conditions.
