Juvenile Court Division Legal Office Support
This is a full-time, FLSA non-exempt position with the First Judicial District Court - Juvenile Court Division. Under general supervision, provides a variety of routine to difficult legal office support to the courts which is often confidential and may include receptionist duties, document processing, typing, word processing, computer entry, record keeping and filing.
This recruitment will be used to create an eligibility list for future openings which will be used for six (6) months for positions in the First Judicial District Court, Juvenile Court and the Carson City Justice/Municipal Court.
Employees may choose between the following: Employer-Paid PERS Retirement: $25.0175 - $35.0244 hourly / $52,036.40 - $72,850.70 annually Employee/Employer-Paid PERS Retirement: $30.1807 - $42.2530 hourly / $62,775.96 - $87,886.24 annually
This recruitment will remain open until recruitment needs are satisfied. Individuals are encouraged to apply immediately, as hiring may occur early in the recruiting process. Assists public as primary customer service contact in-person and over the telephone.
May receive and process various legal documents such as court calendars, court orders, booking documents, probation reports, criminal records, petitions, proofs of service, garnishments, arrest warrants and other legal information for maintaining records.
Verifies, codes, edits, enters and retrieves legal data and prepares reports using a computer system following established formats; may access confidential statewide data files; performs background checks.
May review legal or court documents, arrest or incident records, probation reports, files and cases to identify inaccurate, inconsistent and unclear codes, data and other information.
Locate and return case files for docketing of all legal documents received and filed.
Coordinates court hearings with attorneys, outside agencies and staff.
Checks court and legal documents for proper authorization and obtains missing signatures; refers documents to the proper staff.
Compiles data from multiple sources to complete and process legal forms, documents and reports in accordance with established procedures.
Prepares correspondence, reports, forms and specialized documents from drafts, notes, or brief instructions. May compose standard correspondence from brief instructions; may enter and retrieve information from a computer system.
May receive and process fees, fines or other monies; prepares receipts and balances money received; prepares reports as required.
Contributes to the efficiency and effectiveness of the department's service to its customers by offering suggestions and directing or participating as an active member of a team.
Uses standard office equipment, including a computer, in the course of the work.
Demonstrates courteous and cooperative behavior when interacting with the public, Court and City staff; acts in a manner that promotes a harmonious and effective workplace environment.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education and Experience: Equivalent to a High School Diploma or GED AND two (2) years of clerical experience; OR an equivalent combination of education, training and experience as determined by Human Resources.
Required Knowledge and Skills Knowledge of: Computer applications related to the work. Accepting monies and making accurate arithmetic calculations. Standard office practices and procedures, including filing and the operation of standard office equipment. Policies, procedures, rules and regulations related to the court to which assigned. Legal and court terminology. Office administrative practices and procedures. Business letter writing and the standard format for typed materials. Record keeping principles and practices. Correct business English, including spelling, grammar and punctuation. Techniques for dealing with a variety of individuals from various socio-economic, ethnic and cultural backgrounds, in person and over the telephone.
Skill in: Composing correspondence independently or from brief instructions. Maintaining accurate case and office records. Using initiative and independent judgment within established procedural guidelines. Organizing own work, setting priorities and meeting critical deadlines. Contributing effectively to the accomplishment of team or department goals, objectives and activities. Establishing and maintaining effective working relationships with those contacted in the course of the work. Dealing successfully with a variety of individuals from various socio-economic, ethnic and cultural backgrounds. Interpreting, applying and explaining applicable codes and regulations. Using initiative and independent judgment within established procedural guidelines.
Under General Supervision - Incumbents at this level are given assignments and objectives that are governed by specifically outlined work methods and a sequence of steps, which are explained in general terms. The responsibility for achieving the work objectives, however, rests with a superior. Immediate supervision is not consistent, but checks are integrated into work processes and/or reviews are frequent enough to ensure compliance with instructions. The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of the job. All new employees will serve a probationary period of twelve (12) months. Such employees are not subject to the collective bargaining agreement and may be laid off or discharged during this period for any reason.
Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.
Any City employee may be required to stay at or return to work during emergencies to perform duties specific to this classification or to perform other duties as requested in an assigned response position. This may require working a non-traditional work schedule or working outside normal assigned duties during the incident and/or emergency.
Employees may be required to complete Incident Command System training as a condition of continuing employment.
New employees are required to submit to a fingerprint based background investigation which cost the new employee $47.00 and a drug screen which costs $36.50. Employment is contingent upon passing the background and the drug screen.
Carson City participates in E-Verify and will provide the Social Security Administration (SSA) and, if necessary, the Department of Homeland Security (DHS), with information from each applicant's Form I-9 to confirm work authorization.
