Job Summary
The Floating Property Management Specialist is responsible for executing administrative tasks associated with successful property operations. This includes providing coverage at one or more sites in the absence of a Property Manager or Assistant Property Manager, ensuring consistent execution of revenue collection and expense management practices, operational and contractual obligations, leasing and application processing, and adherence to resident relations policies and procedures.
Essential Job Functions
- Models and instills company mission and values within all employees
- Champions continuous improvement and regularly advocate strategies to enhance resident satisfaction, work processes and property performance
- Meets with prospective residents to show properties and conduct property tours as needed
- Assists in the completion of the initial rental application and waiting list updates
- Assists in the preparation of leases or rental agreements and executes the move in process
- Furthers residents’ understanding of rent charges and lease issues
- Coordinates timely revenue collection in accordance with lease obligations and accounts receivable procedures
- Performs bookkeeping functions to insure all accounts payable, accounts receivable, timekeeping and payroll submission, and monthly reporting requirements at being met
- Enters rent information into Yardi in a timely and accurate manner
- Adheres to expense budget when purchasing property supplies and equipment
- Executes resident relations policies and procedures
- Assists in ensuring that the property meets all contractual and operational obligations—safety, security, maintenance, marketing, landscaping/curb appeal, etc.
- Assists in performing operational reviews and suggest/execute corrective action to address deficiencies
- Maintains complete, accurate, legible and compliant documentation and property files
- Assists in coordinating requests for repairs or maintenance, upkeep, and refurbishment at property
- Assists in the completion of annual re-certifications for all funding sources accurately and on-time to ensure compliance with applicable program/s (e.g. Low-Income Housing Tax Credit (LIHTC), Home, Public Housing, etc.)
- Communicates the operational needs to the Regional/District Manager
- Assists in training of new employees to include systems, application/recertification processes and rent collections
- Assists in unit inspections to ensure the management team is prepared for REAC/State Agency inspections at all times
- Assists with reviewing files in preparation for annual file audits
- Assists in processing applications at properties with high vacancy rates and/or lease ups that need extra assistance
- Attends meetings with Regional/District Managers and AVP’s as needed
- Adheres to Fair Housing Laws in all resident and prospect interactions
- Other duties as assigned by Area Vice President
Requirements
Knowledge, Skills, and Abilities
- High school diploma or GED required
- Minimum of three years of property management experience
- Experience with Public Housing, Project-based Voucher, Tax Credit and Section 8 is highly preferred
- Ability to maintain a flexible schedule based on business needs
- Sound interpersonal skills
- Strong written and verbal communication skills
- Advanced customer service and problem-solving skills
- Advanced organizational and time management skills
- Technically proficient in Microsoft Office
- Ability to work in a fast-paced, action-oriented environment
- Ability to establish relationships across the organization and at various hierarchical levels
- Ability to travel up to 100% of the time
