Overview

We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and clients, and ensure smooth office functionality. Your energetic approach and excellent organizational skills will help create a positive environment that reflects our commitment to exceptional service and professionalism. This paid position offers an exciting opportunity to develop your administrative expertise while supporting daily office activities.

Duties

  • Greet visitors, clients, and staff with enthusiasm, providing a warm and professional first impression
  • Answer multi-line phone systems promptly and courteously, directing calls efficiently using proper phone etiquette
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain accurate records and support office operations
  • Assist with office management tasks such as mail distribution.
  • Support customer service efforts by responding to inquiries via phone or email, offering helpful information or directing to appropriate departments
  • Maintain a clean, organized reception area and ensure all clerical tasks are completed accurately and timely

Experience

  • Proven office experience or administrative background with strong organizational skills
  • Familiarity with multi-line phone systems, data entry, filing, and basic bookkeeping is preferred
  • Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and general office management tools
  • Bilingual abilities are highly valued to assist diverse client needs effectively
  • Prior experience in customer support or customer service roles enhances your ability to handle inquiries professionally
  • Knowledge of dental or medical receptionist duties is a plus but not required; relevant personal assistant experience is beneficial
  • Strong typing skills, attention to detail for proofreading tasks, and effective time management are essential for success in this role
