Job TitleJob DescriptionResponsibilities:Prepare and process invoice journals dailyPrepare and process purchase orders (PO) for selected Museum departmentsPreparing purchase orders for approvalAcknowledging receipt of goods and services in the accounting systemSubmitting invoices timely for paymentReview and validate weekly purchase order (PO) invoices for paymentGenerate purchase orders for approval, receive and invoice the PO upon requestMonitor Accounts Payable email addresses daily for incoming invoices and statements Respond timely to invoice inquiries from departments and vendorsLiaison between operating departments and accountingPreparing expense reports for supported departmentsScan all manual payments for Wires, ACHs and Credit CardsScan all incoming invoices to the Accounts Payable Scan folderScan W-9 Forms to foldersOpen mail and distribute to appropriate departmentsBackup expense report reviewBackup for insurance renewal data and claimsPerform other duties as assignedSkills, Knowledge and Abilities:Familiarity with Microsoft Office productsStrong organizational skills, accuracy and attention to details is criticalExcellent communication skills, detail oriented, critical thinker and able to multitaskAble to work independently to meet deadlinesEducation and Experience:Degree or coursework in accountingAt least two years in accounts payable or general accounting experience, including journal entries through general ledger (non-profit experience preferred)Experience with Dynamics AX, Dynamics 365 or Great Plains Accounting software is requiredWork Location Expectation:Hybrid work available after 90 day probation period.
