This person will own AP end to end in a hands-on role, with a growing focus on building controls and automation as the company scales.What you'll doInvoice processingManage the AP inbox and process vendor invoices end to end in Ramp and QuickBooks OnlineCode invoices to the correct GL account and periodPerform three-way match against POs and receipts, and resolve discrepancies with vendors and internal teamsFlag duplicates, unusual charges, and invoices that need supporting agreementsPayment runsPrepare twice-weekly payment batches (ACH, wire, card) for approvalTrack open items (holds, missing documents, coding questions) and drive each to resolutionVendor management and controlsOnboard new vendors, including W-9/W-8 collection, legal name verification, and banking detailsPerform call-back verification on new or changed bank detailsMaintain the vendor masterTrack 1099 vendors and support year-end 1099 filingReview vendor sales tax and flag California use tax exposureMonth-endSupport AP cut-off and accrualsPrepare the AP aging and reconcile AP to the GLPerform periodic vendor reconciliationsProcess improvementHelp build out PO and three-way match controls and AP automationDocument AP procedures and roll out consistent practices across subsidiariesSupport audit requests related to APWhat you bringBachelor's degree in accounting, finance, or related field3 to 4 years of full-cycle AP experienceManufacturing or multi-entity experience a plusSolid grasp of accrual accounting, GL coding, and month-end cut-offFamiliarity with W-9/1099 requirements and sales/use taxStrong Excel skillsQuickBooks and Ramp experience a plusOrganized, accurate, and comfortable following up with vendors and internal teams CooperDouglas Executive Search
