This position will manage the day-to-day operation of the maintenance parts room, including receiving, stocking, issuing, tracking, and ordering maintenance parts and supplies. The Parts Coordinator will work closely with Maintenance Technicians and Maintenance leadership to ensure critical spare parts are available when needed and to reduce equipment downtime caused by unavailable parts. The ideal candidate is highly organized, dependable, comfortable working with computerized inventory systems, and able to communicate effectively with Maintenance, Purchasing, Receiving, and outside vendors. Maintain an organized and clean maintenance parts room. Receive, inspect, label, and properly store incoming maintenance parts. Issue parts and supplies to Maintenance Technicians and accurately document usage. Maintain accurate inventory quantities and locations. Perform routine cycle counts and correct inventory discrepancies. Maintain appropriate minimum and maximum inventory levels. Monitor inventory and identify parts that need to be reordered. Assist with creating purchase requests and tracking open parts orders. Follow up with vendors on pricing, availability, lead times, and outstanding orders. Verify received parts against purchase orders and packing slips. Ensure parts are properly labeled with part numbers, equipment information, and storage locations. Maintain organized storage locations for electrical, mechanical, pneumatic, and facility parts. Track repairable components that are sent to outside vendors for repair. Maintain records for warranty parts and returned components. Assist Maintenance leadership with controlling parts inventory costs. Identify obsolete, duplicate, or excess inventory. Maintain appropriate inventory records in Plex, Redzone, or other company systems as required. Maintain maintenance consumables and commonly used shop supplies. Keep the parts room secure and ensure parts are properly issued and accounted for. Critical Spare Parts Management The Parts Coordinator will work with Maintenance leadership to identify and maintain critical spare parts for production equipment. This may include: Motors Gearboxes Bearings Chains and sprockets Pumps Sensors and photo eyes VFDs HMIs Electrical components Pneumatic cylinders and valves Solenoids Conveyor components Packaging-machine components Fuses, relays, contactors, and overloads Equipment-specific replacement parts Critical spare inventory should be reviewed based on equipment importance, failure history, replacement cost, vendor lead time, and potential production downtime. Inventory & Parts Room Organization The Parts Coordinator is expected to maintain a parts room where Maintenance Technicians can quickly identify and locate required components. Responsibilities include: Establishing clearly identified storage locations. Labeling shelves, bins, cabinets, and parts. Maintaining accurate part numbers and descriptions. Linking parts to the appropriate equipment when possible. Maintaining quantities on hand. Establishing minimum and maximum stock levels. Identifying low-stock and out-of-stock items. Performing scheduled cycle counts. Maintaining designated areas for new, used, repairable, warranty, and obsolete parts. Preventing uncontrolled removal of parts from inventory. The goal is for a mechanic to be able to quickly locate the correct part during a production breakdown without searching through unorganized inventory. Obtain pricing and availability from approved vendors. Assist with purchase orders and purchase requests. Track open orders and expected delivery dates. Expedite critical parts when production equipment is down. Communicate urgent requirements clearly to vendors. Verify received quantities and part numbers. Coordinate incorrect, damaged, or warranty returns. Identify alternate suppliers when appropriate. Communicate long-lead-time or unavailable parts to Maintenance leadership. Help identify opportunities to reduce parts costs without sacrificing equipment reliability. Food Safety & GMP Responsibilities Because this position supports maintenance activities within a food-manufacturing facility, the Parts Coordinator must: Follow all company Good Manufacturing Practices (GMPs). Maintain clean and organized maintenance storage areas. Properly store lubricants, chemicals, tools, and maintenance supplies. Separate food-grade and non-food-grade materials as required. Ensure food-grade lubricants and chemicals are clearly identified. Prevent contamination of maintenance parts and supplies. Follow company requirements when entering production areas. Immediately report potential food-safety or contamination concerns. Requirements Minimum Qualifications High school diploma or GED preferred. Previous experience in parts, inventory, warehouse, purchasing, maintenance, or manufacturing preferred. Maintenance or industrial parts experience is strongly preferred. Basic understanding of mechanical and electrical components preferred. Strong organizational skills and attention to detail. Basic computer and tablet skills. Ability to learn inventory and maintenance-management systems. Ability to accurately enter part numbers, quantities, and inventory transactions. Ability to communicate professionally with vendors and internal departments. Ability to manage multiple priorities. Strong attendance and punctuality. Ability to work independently with limited supervision. Physical & Work Environment Requirements Work within an active food-manufacturing environment. Stand and walk for extended periods. Bend, reach, kneel, push, and pull as necessary. Move and organize maintenance parts and supplies. Use ladders or approved equipment to access storage locations when trained and authorized. Work in areas that may be hot, cold, noisy, or humid. Wear required PPE and follow all safety and GMP requirements. Must have the ability to frequently lift or carry up to 50 lbs. and occasionally lift or carry 51-100+ lbs.
