Position Overview The Intake Specialist serves as the first point of contact for potential clients contacting the firm. This role requires strong communication skills, professionalism, empathy, and the ability to gather key information from individuals who may be experiencing difficult circumstances following serious injuries. The Intake Specialist will work closely with attorneys and the intake team to evaluate potential cases and ensure prospective clients receive a professional and compassionate initial experience with the firm. Key Responsibilities Serve as the first point of contact for prospective clients via phone, email, and other communication channels Conduct detailed intake interviews with potential clients regarding personal injury and medical malpractice matters Gather, document, and organize case information accurately within the firm’s case management systems Communicate with attorneys and the intake team regarding potential case viability Maintain professionalism and empathy when speaking with individuals experiencing serious injuries or difficult circumstances Manage multiple inbound inquiries while maintaining strong attention to detail and accuracy Track intake status and ensure timely follow-up with prospective clients Assist with administrative tasks and documentation related to new matters Collaborate with attorneys, paralegals, and intake staff in a fast-paced environment Qualifications Bachelor’s degree preferred; recent graduates encouraged to apply Strong communication and interpersonal skills with excellent phone etiquette Demonstrated empathy and professionalism when speaking with individuals in sensitive situations Highly organized with strong attention to detail Ability to multitask and prioritize work in a fast-paced environment Comfortable working both independently and as part of a team Experience in legal intake, personal injury, medical malpractice, or healthcare environments is a plus but not required Team & Work Environment The Intake Specialist will join a collaborative team of approximately 12 intake professionals led by a dedicated Intake Manager and will work closely with one of the Firm's partners. This role offers significant mentorship and career development opportunities, and many intake professionals grow into other positions within the firm over time. Schedule This position follows a unique hybrid schedule after a 30-day training/probationary period: In Office: Monday, Thursday, and Friday Remote: Saturday and Sunday Days Off: Tuesday and Wednesday Salary: $50,000 - $68,000 commensurate with experience. Physical Requirements Work is generally performed sitting, talking, hearing, and typing High-volume screen-based role, requiring constant, prolonged computer usage, including reviewing documents, managing visual content, and attending virtual meetings Visual acuity required for computer use, data analysis, and extended readingProlonged periods of sitting at a desk and working on a computer Frequent use of hands and fingers for typing and document handling Occasional standing, walking, bending, and reaching Ability to lift and carry items weighing up to 30 pounds Remote Work & Information Security Requirements Maintain a secure and reliable internet connection capable of supporting required systems and applications Utilize company-issued or approved technology, including compliance with required security tools (VPN, multi-factor authentication, endpoint protection) Conduct work in a manner that protects the confidentiality of information, including taking reasonable steps to prevent unauthorized access, viewing, or disclosure of sensitive materials Follow all applicable information security, data privacy, and acceptable use policies as communicated by the Company Promptly report any suspected security incidents, breaches, or system vulnerabilities in accordance with Company protocols Workplace Monitoring & Data Use Notice To protect client and Company systems, data, and confidential information, Trustpoint may implement reasonable administrative, technical, and physical safeguards, which may include monitoring of Company-provided systems, devices, and networks, consistent with applicable law.
