Insurance Coordinator

Florida OMFS, a teaching oral surgery practice, is seeking an Oral Surgery Insurance Coordinator to work closely with patients, insurance companies, and our clinical team to verify benefits, manage claims, and facilitate outstanding payments. Position Summary The Oral Surgery Insurance Coordinator will provide excellent customer service, maintain professional relationships with insurance carriers, and ensure that patient benefits are balanced with insurance payments. The role involves working closely with patients, explaining their benefits, communicating any insurance concerns, and managing any insurance disputes. Work Schedule Mon‑Thu: 7:45 am – 4:30 pm (1‑hour lunch). Fri: 7:45 am – 3:00 pm. Rarely past these hours. Focus on work‑life balance. Explain insurance benefits to patients. Enter data using dental practice management software. Post payments made by patients. Upload completed insurance verification forms. File electronic claims (medical and dental). Post payments. A/R follow‑up and collections. Negotiate fees and schedules with insurance companies. Update all CPT and ICD‑9/10 codes. Interpret aging reports. Review EOB breakdowns. Re‑verify post‑op patients’ insurance benefits if additional treatment is planned. Update/recalculate treatment plans if benefits change. Contact the general dentist or referral source for referrals or panoramic x‑rays if indicated. Quote any out‑of‑pocket expenses required for the appointment. Answer phone calls by the second ring (front‑desk shared responsibility). Communicate with clinical staff regarding upcoming scheduled treatment to ensure all needed products are in the office. Back up treatment planning and check‑in. Perform other duties as directed by supervisor. Requirements Positive attitude in the face of difficult or challenging situations. High school diploma or equivalent (required). Competency in Microsoft applications, including Word. Minimum of 1 year in a dentist/oral surgeon office environment working in insurance. Knowledge of dental procedures and insurance billing codes. Experience with dental practice management software (OMFS Vision is a plus). Bi‑lingual is a plus but not required.
