We are seeking an experienced, highly organized, and detail-oriented Estate Manager to oversee daily operations and long-term maintenance of private residential estates.

 

The Role: As Estate Manager for Safehouse Home Team, you are responsible for the overall management, maintenance, and upkeep of the estate. Your duties include staff supervision, budget management, and coordination of property maintenance and repair, always ensuring the estate is presented to the highest standards. You are the first point of contact for any contractors, vendors, and service providers.

 

The ideal candidate is a self-motivated, people-driven, and energetic individual with a passion for managing large properties and “running a tight ship”. You’re a good fit for this position if you are meticulously detailed and can provide exceptional service to property owners and ensure that everything runs smoothly at all times.

Key Responsibilities:

· Property Management: Oversee day-to-day operations of the estate, including housekeeping,

groundskeeping, and facility management.

· Staff Management: Hire, train, and manage a team of estate staff, including housekeepers, gardeners,

security personnel, and maintenance workers.

· Maintenance & Repairs: Coordinate regular maintenance and necessary repairs, ensuring the estate is

always in excellent condition.

· Vendor & Contractor Coordination: Manage relationships with external contractors and service

providers, gathering quotes, scheduling services, overseeing work, collecting W-9s, NDAs, and other

documentation as necessary.

· Event Planning & Coordination: Plan and coordinate special events, gatherings, and functions,

ensuring everything is executed seamlessly.

· Budget Management: Develop and manage the estate's operating budget, track expenses, vendor

forms, and report on financial matters as needed.

· Security & Safety: Ensure the property is secure at all times, including implementing and maintaining

security systems and protocols.

· Logistics & Administration: Handle administrative tasks, including scheduling, correspondence, and

maintaining inventories.

Qualifications:

  • Proven track record as an Estate Manager or in a similar role managing large estates or private residences.
  • Expertise in Estate Management, Property Management, and Facility Management.
  • Strong knowledge of property maintenance, operations, and budgeting.
  • Leadership ability, with experience managing staff, contractors, and vendors.
  • Excellent organizational and multitasking skills with the ability to manage multiple projects simultaneously.
  • Strong communication skills, a professional demeanor, and an understanding of security protocols for high-profile properties.
  • Discretion, trustworthiness, and the ability to maintain confidentiality.
  • Knowledge of budgeting, expense tracking, and basic financial management.
  • A hands-on approach and a proactive mindset are essential.
  • Valid driver’s license and ability to travel as needed.
  • Must pass an extensive background check. 

 

Preferred Skills & Experience:

  • Experience with luxury or high-end estate management.
  • Familiarity with smart home technology and property security systems.
  • Ability to work flexible hours, including evenings and weekends, as needed for events or emergencies.
  • Bilingual English/Spanish is an asset
