General Position Summary The HubSpot Administrator is the architect and steward of the organization’s CRM ecosystem. This role owns the stability, scalability and performance of HubSpot while continuously identifying smarter, faster and more impactful ways to support the business. It is a proactive problem‑solver who brings fresh ideas, challenges conventional approaches and leverages technology, automation and AI to solve business challenges. Essential Duties & Responsibilities Platform Administration, Automation & Innovation (45%) Own day‑to‑day HubSpot administration including users, permissions, objects, properties and system settings. Design, build and optimize workflows, automation and custom solutions that streamline processes and eliminate manual effort. Identify opportunities to improve operations through creative use of HubSpot capabilities, integrations, AI and emerging technology. Build, test and maintain automation across Sales, Marketing and Operations with strong QA processes and rollback plans. Manage platform releases and enhancements with clear communication, training and minimal business disruption. Troubleshoot issues quickly, determine root causes and implement sustainable solutions rather than temporary fixes. Data Quality, Governance & Scalability (30%) Establish and enforce CRM standards, governance policies and best practices that support long‑term scalability. Protect the integrity of the platform by ensuring changes are properly evaluated, tested and documented. Run regular audits to identify duplicates, incomplete records, automation conflicts and process breakdowns. Lead data cleanup initiatives and address root causes to prevent recurring issues. Manage imports, exports and migrations with rigorous validation and quality control processes. Monitor data quality trends and proactively identify opportunities to improve reporting accuracy and operational efficiency. Business Partnership, Enablement & Continuous Improvement (20%) Partner with stakeholders to understand business objectives and translate them into scalable CRM solutions. Act as an internal consultant, helping teams rethink processes and uncover more efficient ways of working. Train and support users through role‑based enablement programs that increase adoption and effectiveness. Maintain SOPs, system documentation, workflow maps and change logs. Gather user feedback, identify friction points and continuously improve system usability and user experience. Reporting, Analytics & Adoption (5%) Maintain core dashboards and reports while ensuring metric definitions remain consistent and reliable. Monitor platform adoption and user engagement, identifying opportunities to improve utilization and business value. Support leadership with reporting recommendations that provide actionable insights rather than simply delivering data. Identify trends, gaps and opportunities that help the business make faster and better decisions. Education & Experience 6+ years of HubSpot administration experience in a complex, multi‑user environment. HubSpot Administrator certification required; advanced HubSpot certifications preferred. Language Skills Ability to read, interpret and apply business requirements, system documentation, workflow logic, technical instructions and CRM policies. Ability to write clear documentation, training materials, process guides, change notes and user communications. Ability to communicate complex CRM concepts clearly to technical and non‑technical audiences across Sales, Marketing, Operations and Leadership. Ability to facilitate discussions, ask effective questions and translate stakeholder needs into actionable system requirements. Mathematical Skills Ability to analyze CRM data, reporting metrics, adoption trends and dashboard results to identify patterns, gaps and opportunities for improvement. Ability to validate data imports, exports and migrations using accuracy checks, record counts, formulas and quality control processes. Ability to calculate and interpret performance indicators, conversion rates, workflow outcomes and other CRM‑related business metrics. Ability to apply basic statistical and analytical thinking to support reporting accuracy and data‑driven decision making. Reasoning Ability Ability to define problems, collect relevant information, evaluate options and implement sustainable CRM solutions. Ability to troubleshoot workflow, automation, data quality, integration and user access issues with strong attention to root cause. Ability to evaluate business requests, identify risks and recommend scalable solutions that support long‑term platform health. Ability to exercise sound judgment when balancing speed, user needs, governance requirements and data integrity. Computer Operations Advanced proficiency with HubSpot CRM administration, including users, permissions, objects, properties, workflows, dashboards, reporting and system configuration. Proficiency with Microsoft Office applications, collaboration tools, data files and business productivity platforms. Ability to manage CRM integrations, automation tools, data imports, exports and system documentation with accuracy and consistency. Ability to learn, evaluate and apply new technologies, including AI‑enabled tools, to improve efficiency, documentation and user support. Planning / Organization Ability to manage multiple CRM initiatives, enhancement requests, system changes and user support needs in a fast‑paced environment. Ability to prioritize work based on business impact, urgency, risk and resource availability. Ability to plan, test, document and communicate system changes to ensure successful adoption and minimal disruption. Ability to maintain organized records, SOPs, workflow maps, change logs and governance documentation.
