Hospital Manager - Cumberland Animal Clinic Position Overview Join our team as a Hospital Manager who works daily to develop an efficient and effective hospital support team by fostering an environment of trust, teamwork, and accountability. The Hospital Manager partners with the Veterinarian to provide an efficient and profitable operation by driving revenue and managing costs while creating a hospital culture based on high‑quality patient care and excellent customer service. Key Responsibilities Supervises staff within all hospital support departments; achieves and maintains all labor goals. Hires, trains and manages office and technical clinic support staff and is responsible for new hire paperwork. Orients and trains new clinic staff to the hospital and duties. Reviews work performance of direct reports, constructively delivers feedback, resolves personnel issues, and discusses progress with the Regional Manager weekly. Conducts timely performance appraisals. Documents and reports accidents; files appropriate reports. Writes policies and procedures for technical aspects of the hospital and presents them for approval. Manages schedules for technical and administrative staff and coordinates the DVM. Monitors workforce management for missed punches and manages overtime hours daily. Administers daily operations. Works with the support team to ensure compliance with all administrative responsibilities. Monitors budgets, purchases equipment and supplies, and oversees facility maintenance. Submits contract veterinarian invoices, local vendor invoices, ensures invoice accuracy, and obtains W‑9s from local vendors. Assists in resolving issues with pet owners where appropriate. Reviews revenue, labor and employee issues with leadership on a weekly conference call and achieves goals set in each area. Manages all local accounting functions; ensures daily financial information is accurate. Oversees inventory management and ensures proper documentation and systems are in place. May establish and oversee billing practices; reviews and maintains billing accuracy and oversees charge capturing. May negotiate contracts with insurance providers. Maintains compliance with licensure requirements and displays current licenses for DVMs. Performs other duties and responsibilities as assigned. Required Qualifications Bachelor’s degree in business, health science, or related field strongly preferred. Minimum of five years of direct office management experience, including at least two years of supervisory experience. Considerable equivalence in education, certification, training or experience may be acceptable. Customer service ability in a courteous, prompt, and efficient manner. Computer proficiency with Microsoft Office products (Word, Outlook, Excel) and applicable organization‑specific software. Ability to establish and maintain productive and cooperative working relationships. Active time‑management and organizational skills to complete work promptly. Excellent oral and written communication skills. Flexibility with scheduling and willingness to work some weekends and holidays. Ability to work with or around sick animals and hazardous materials, cleaning chemicals, gas anesthetics, zoonotic diseases, and unpleasant odors. Tasks may involve extended periods at a keyboard or workstation and/or extended periods standing, walking, climbing, balancing, stooping, kneeling, crouching or crawling. Periodic moderately physically demanding work, such as lifting or carrying animals up to 50 lb. Other duties and responsibilities as assigned by management. Preferred Skills Certified Veterinary Practice Manager (CVPM) or Master of Healthcare Administration (MHA) preferred. Strong analytical skills for financial information. Strategic planning skills, including financial forecasting, marketing plans and long‑term growth planning. Leadership skills to manage and direct staff toward a common goal. Decision‑making skills, problem solving and essential decision ability. Effective oral and written communication skills. Resourcefulness and adaptability; initiative and ability to manage changes. Compliance knowledge of hospital regulations and requirements. Planning and prioritizing skills to organize work, set priorities and establish timelines.
