Qualifications: High school diploma or equivalent (some college coursework preferred). Previous experience in an administrative or secretarial role is desirable. Bilingual candidate in Arabic, Spanish, or Polish is desirable. Familiarity with Multilingual Programming is a plus. Strong organizational skills and the ability to manage multiple tasks simultaneously. Attention to detail and accuracy in all aspects of work. Excellent written and verbal communication skills. Proficiency in using standard office software and equipment (e.g., Google platform, Excel, copiers, printers). Ability to maintain confidentiality and handle sensitive information with discretion. Strong interpersonal skills and the ability to work collaboratively in a team environment. Flexibility and adaptability to changing priorities and deadlines. A commitment to promoting inclusivity and supporting the needs of Multilingual students.

This is a part-time position, with approximately 20 hours per week. The specific schedule will be determined in consultation with the department supervisor. Compensation will be commensurate with qualifications and experience.

To provide district-level administrative and compliance support to the Multilingual Department under the direction of the Multilingual Director. This is a district office position and exists to support district systems, onboarding, assessment preparation, documentation management, purchasing, and audit readiness for Multilingual Learners in alignment with state and federal civil rights requirements.

1. Provides district-level administrative support only for the Multilingual Education Department, including filing, scanning, organizing, and maintaining central office compliance records and documentation. This position does not maintain or manage school-based student files.

2. Supports district onboarding of Multilingual Learners by organizing Home Language Surveys, screening documentation, parent notifications, placement records, and required compliance forms for district monitoring and review.

3. Maintains and organizes confidential Multilingual Learner documentation required for state and federal compliance. EL teachers maintain school-level instructional records, and the Multilingual Director retains responsibility for all official data entry, certification, and system accountability.

4. Prepares, organizes, and assembles materials for WIDA screening, ACCESS for ELLs testing, EL progress reports, state reporting cycles, and monitoring reviews.

5. Supports scheduling and logistics for any district Multilingual meetings, professional development, assessment windows, and compliance timelines.

6. Assists in Preparing correspondence, forms, reports, and documentation drafts as directed by the Multilingual Director.

7. Reviews and verifies accuracy and completeness of English Learner documentation in systems such as PowerSchool and Ellevation; this position does not enter, submit, or certify data.

8. Assists in maintaining organized digital and physical file systems to ensure audit readiness for ISBE, OCR, ESSA and federal monitoring.

9. Supports professional development, Adult English Classes, family workshops, and district multilingual events through logistical coordination, material preparation, and purchasing/supply procurement as directed.

10. Responds to general inquiries and routes questions to the appropriate district Multilingual staff, building administrators, or family liaisons; does not serve as a liaison, case manager, or instructional/program decision-maker.

11. May provide temporary support to school buildings or other District departments when her assigned Multilingual Department Department responsibilities are up to date and when directed by the Multilingual Director. Such assistance is supplementary in nature and does not constitute a permanent building assignment or alter the district-level scope of this position.

12. Performs other district-level administrative and compliance support duties as assigned by the Director of Multilingual Education.

Reports to: Multilingual Director

Part-time district-level position (approximately 20 hours per week). Work year and schedule established by the Board of Education.

Performance of this job will be evaluated annually by the Director of Multilingual Education in accordance with Board of Education policy on evaluation of support services personnel.
