Job Description

PMS Products, Inc., the exclusive manufacturer and distributor of Boeshield T-9®, is seeking a dependable, organized, and detail-oriented  Assistant Office Manager to support our office operations in Holland, Michigan.

Working closely with our Office Manager, this position will assist with customer service, order processing, data entry, shipping coordination, inventory records, and general administrative duties. The ideal candidate is comfortable working in a small business environment, can manage multiple priorities, and takes pride in keeping daily operations running smoothly.

This is a part-time, in-office position ideal for someone seeking a consistent schedule and an opportunity to contribute to a growing business.

Responsibilities

• Assist with customer communications, including responding to inquiries, providing order updates, and directing requests as needed.
• Enter and process customer orders, purchase orders, and other sales documentation accurately.
• Assist with preparing invoices, quotes, and customer account records.
• Support shipping coordination by preparing shipping documents, tracking shipments, and assisting with domestic and international shipping paperwork as needed.
• Maintain accurate inventory records, product documentation, and other operational files.
• Assist with data entry, filing, scanning, and maintaining organized electronic and paper records.
• Support accounts receivable activities, payment tracking, and routine bookkeeping tasks as assigned.
• Prepare and update spreadsheets, reports, and other documents using Microsoft Office.
• Communicate with warehouse personnel to help coordinate orders, inventory availability, and shipment schedules.
• Provide general administrative support to the Office Manager and other team members as needed.

Qualifications

• Previous experience in office administration, customer service, data entry, or a related role preferred.
• Strong organizational skills and attention to detail.
• Good written and verbal communication skills.
• Basic proficiency in Microsoft Excel, Word, and Outlook.
• Comfortable learning business software and internal processes.
• Ability to manage multiple tasks, meet deadlines, and work independently when needed.
• Reliable, professional, and willing to assist with a variety of office responsibilities.

Preferred Qualifications:

• Experience with order processing, invoicing, inventory records, or shipping documentation.
• Familiarity with accounting software, such as Sage 50, or a CRM system.
• Experience working in a small business or office supporting warehouse operations.

Position Details
