Warehouse Receiving Associate

The Warehouse Receiving Associate receives, inspects, documents, and organizes incoming materials to support warehouse operations and project needs. The role maintains accurate receiving and inventory records, coordinates with departments and vendors, and uses Microsoft Excel extensively, including intermediate and advanced formulas and functions.

Essential Duties & Responsibilities

• Receive and unload deliveries; verify item descriptions, quantities, and condition against purchase orders, packing slips, and bills of lading (BOL). Document and promptly report shortages, overages, damage, and incorrect items to the Warehouse Team Lead.
• Accurately enter and maintain receiving records in Excel, the enterprise resource planning (ERP) system, and online tracking tools. Organize vendor receipts and delivery documents in electronic files and filing cabinets as required.
• Label incoming materials by project and place them in designated locations. Notify the appropriate departments when materials arrive and communicate their location and any delivery discrepancies.
• Assist the Warehouse Team Lead with purchasing and receiving by preparing purchase orders, tracking open orders, and communicating order status. Follow established purchasing approval procedures.
• Coordinate parts handling and vendor returns as directed, maintaining return documentation and tracking outstanding returns.
• Complete scheduled daily, monthly, quarterly, and annual inventories as required. Perform weekly inventory spot checks, report discrepancies, and identify materials needing replenishment.
• Operate forklifts and other material-handling equipment to load, unload, and move materials only after required training and authorization. Complete required equipment checks and report unsafe conditions.
• Manage hazardous waste containers and exchange gas cylinders for mechanics in accordance with company procedures and required training. Promptly report leaks, damaged containers, or other hazards.
• Manage and distribute company uniforms. Deliver materials to project sites when needed and maintain accurate delivery records.
• Maintain clean, orderly warehouse and yard areas, including trash pickup, handling project-returned waste, yard cleanup, and using approved handling and disposal procedures.
• Follow company safety procedures and applicable OSHA requirements, use required personal protective equipment (PPE), and promptly report incidents and hazards. Communicate respectfully and coordinate work with coworkers across departments.

Qualifications

• Strong Microsoft Excel proficiency, including intermediate and advanced formulas and functions, accurate data entry, sorting, filtering, and maintaining inventory and receiving logs.
• Ability to use or learn the company's ERP system and online receiving tools and to maintain organized electronic and paper records.
• Attention to detail and basic math skills to verify quantities, reconcile records, and identify discrepancies.
• Clear communication, organization, and time-management skills to coordinate deliveries, follow up on open items, and manage changing priorities.
• Ability to read and follow purchase orders, delivery documents, work instructions, and safety procedures.
• Valid North Carolina driver's license for project deliveries.
• Ability to complete required training and obtain company authorization before operating equipment or performing specialized handling duties.

Physical Demands

Work takes place in the warehouse, receiving areas, outdoor yard, and project delivery locations. Duties involve working around moving equipment and exposure to outdoor weather conditions during yard work and deliveries.

The position regularly requires standing, walking, using hands to handle materials, reaching, stooping, kneeling, crouching, crawling, and communicating with others. Climbing and balancing are frequently required.

Material-handling duties include regularly lifting or moving up to 25 pounds, frequently lifting or moving up to 50 pounds, and occasionally lifting or moving up to 80 pounds. Use appropriate lifting equipment or team assistance when needed to handle loads safely.

Visual tasks include reading labels and records, identifying materials, judging distances, and recognizing hazards. These tasks involve close and distance vision, color differentiation, peripheral awareness, depth perception, and adjustment of focus. Required PPE must be used for each assigned task.
