SummaryResponsible for the flawless on-site execution of all catering, banquet, and conference events at Manor Vail Lodge, leading the banquet team from pre-conference through post-event. The Banquet Event Manager is the group's point person on the day of the event and does not sell or contract new business — that work is handled upstream by the Sales Manager, with pre-planning handled by the Catering & Conference Services Manager. The successful Banquet Event Manager partners closely with the Catering & Conference Services Manager to bring each event to life following the contracting and planning process.
This role sits at the third stage of Manor Vail's group event process: the Sales Manager contracts the group or wedding; the Catering & Conference Services Manager coordinates the event, plans menus, and walks the group through the details; the Banquet Event Manager then executes the event with the banquet team, meeting group contacts at the pre-con and remaining their point person through the event.
Work ScheduleVaries according to event and business demands, including evenings and weekends when required.
Essential Duties and ResponsibilitiesOther duties may be assigned.
- Event execution and presentation: Deliver flawless, thoughtfully presented execution of every catering, banquet, and conference event, bringing a keen eye for detail to each setup, service, and finishing touch.
- Client liaison and communication: Serve as the group's on-site point person, meeting group contacts at the pre-conference meeting and remaining their primary contact through the event; lead post-conference meetings to review outcomes and gather feedback.
- Event handoff and planning review: Receive finalized menus, room diagrams, timelines, and event plans from the Catering & Conference Services Manager, and review all Banquet Event Orders (BEOs) for accuracy before execution.
- Team leadership and staffing: Lead and partner with the Banquets team to ensure setup and staffing levels match the needs of each event; sign off on Time & Attendance/payroll for banquet staff and maintain the banquet and catering tip pool.
- On-site execution and vendor coordination: Execute room sets, diagrams, and audiovisual/production needs per the finalized event plan, coordinating in-house and third-party AV vendors and working closely with the culinary team on food and beverage timing and presentation.
- Administrative and reporting: Post and maintain the weekly Event Schedule and daily meeting room signage; ensure accurate, timely event billing; maintain proficiency in Delphi catering software; flag additional service opportunities to the Catering & Conference Services Manager for client follow-up.
- Team collaboration: Attend Food & Beverage and Operations meetings and the weekly Manager's Meeting; maintain a positive, professional presence on behalf of Manor Vail Lodge; support other operational departments as directed by leadership during periods of lower banquet and event volume.
Applicants must be able to perform each essential duty satisfactorily.
- High school diploma required, Bachelor's degree in Hospitality Management preferred; 3-5 years of banquet, catering, or hotel/resort event operations experience, including at least 2 years directly supervising banquet or event service staff.
- Proven ability to lead a team through live, fast-moving events with strong organizational skills and real-time problem-solving.
- Excellent written and verbal communication skills; ability to interact professionally with group leaders, staff, and the general public.
- Proficiency with MS Office; experience with event-management software (Delphi) and audiovisual coordination.
- Valid driver's license and ability to obtain a Responsible Alcohol Awareness/TIPS certification.
- Ability to lift up to 50 pounds and stand or walk for extended periods.
Directly leads banquet and event service staff during scheduled events; partners with the Banquets team on staff scheduling and payroll sign-off.
Work EnvironmentThe work environment is generally quiet, though occasional exposure to outdoor weather and higher noise levels during events should be expected.
Physical DemandsThe employee must regularly talk or hear and frequently walk; occasional standing, sitting, reaching, and lifting (up to 50 pounds) are required.
