Operations Analyst

Under general supervision, this single position classification coordinates the operational functions of the court with the capabilities of the court’s case management and document management systems. This position is represented and non-exempt under the Fair Labor Standards Act. This is a full-time, limited-term position currently funded for two years. Continuation beyond two years is contingent upon the availability of grant funding. Analyzing court processes relative to the case management system (CMS); Recommending changes to processes, if any, in order to work with the CMS; Recommending modifications, if any, to the CMS, to accommodate the work processes and changes in statutes or rules of court; Entering and updating contents of data tables in the CMS; Serving as a team member for any new CMS: Developing, entering, updating, and/or inactivating forms embedded in CMS; Acting as a liaison with other governmental agencies in coordinating the data exchange between the CMS and data systems held by DOJ, DMV, Franchise Tax Board (FTB), Transcript Assembly Program (TAP), the document management system (DMS/ILINX), and local justice partners by conducting tests to ensure the data exchange between the Court and each agency is working and advising the appropriate person(s) when it does not; Developing, delivering or coordinating the delivery of CMS training to end-users; Developing or assisting in developing formal policies, procedures and standards specify to using the CMS: Writing Queries in the CMS that may be run by designated users for data analysis; Answering questions and resolving user problems related to the use and operation of the CMS; Attending job-related training; Collecting statistical information and preparing required reports; Exercising discretion and using sound independent judgment within general policy; Organizing and managing multiple priorities; Performing work that may be assigned, scheduled, and prioritized by others; and Performing other related work as required by business needs. Knowledge, Skills, and Abilities The successful applicant will possess the following (KSAs): Knowledge of: Court functions, operations, procedures, and services for all case types; Legal terminology, forms, documents, and procedures; California statutes and rules governing court procedures; Trial court system in California; Principles and practices of workflow in a California trial court; Business process analysis; Correct use of English language, spelling, and grammar; Microsoft Word, Excel, and Outlook; Modern office equipment: personal computer, printer, copier, fax, etc.; and Office methods and procedures, and telephone etiquette. Ability to: Write clearly and concisely; Use sound judgment within the framework of policies, procedures, and guidelines; Meet deadlines; and Maintain confidentiality of information. Educational and Work Experience Requirements Possession of a high school diploma or its equivalent and five (5) years of experience in a trial court or equivalent.
