POSITION SUMMARY 

This role safeguards the accuracy and visibility of product across its full lifecycle—from receipt and staging through returns, spare and loaner parts, and final disposition. Serving as the connective link between the Installation and Warehouse teams, the Inventory & Returns Coordinator owns a disciplined system of record for returned product and on-hand inventory, ensuring that what the field needs is known, tracked, and available, and that nothing is lost, double-counted, or left unresolved. Success is measured by clean records, reliable counts, and fast, accurate answers to “where is it / do we have it.”  

ESSENTIAL DUTIES AND RESPONSIBILITIES  

• Own the end-to-end returned-product process: receive, inspect, and log every returned item into the system of record, capturing condition, source project, and reason for return.
• Determine and execute disposition — restock, repair, hold for warranty/RMA, or scrap — and record the outcome so inventory stays accurate.
• Maintain a clean, auditable returns log; identify recurring return drivers and surface them to Project Operations for process improvement.
• Maintain accurate on-hand inventory of product, spare parts, and loaner items, including bin/location tracking and routine cycle counts.
• Manage spare and loaner parts: know what is on hand, issue and track loaners, and replenish stock before shortages affect punch and repair work.
• Reconcile physical counts against the system and resolve discrepancies promptly.
• Track the status and whereabouts of furniture, loaners, and components — receiving pallets, confirming pulls before ship dates, and logging movement in and out of the warehouse.
• Serve as the connective link between the Installation and Warehouse teams, ensuring product needs, returns, and part requests move quickly between the two.
• Support in-house product modification and fabrication tracking (cut-downs, adjustments, warranty and leg-glide work), logging changes to inventory.
• Coordinate inbound and outbound returns freight with Shipping & Logistics.
• Keep records complete, current, and auditable across the system of record (Business Central / Insight).
• Proactively identify inventory-visibility gaps and propose practical, repeatable fixes.
• Report inventory, returns, and product concerns to Project Managers and/or the Director of Project Operations as soon as identified.
• Perform quality-control checks on received, staged, and returned product; maintain an orderly, well-organized work area.

PHYSICAL REQUIREMENTS: 

• Stooping, crouching, and reaching to handle, inspect, and store product.
• Standing and walking for sustained periods, moving about the warehouse and between work sites.
• Fingering and grasping — handling parts, tools, scanners, and records.
• Talking and hearing — conveying and receiving detailed information accurately, including in a warehouse environment.
• Repetitive motion of the wrists, hands, and/or fingers.
• Medium work. Exerting up to 50 pounds of force occasionally, up to 20 pounds of force frequently, and up to 10 pounds of force constantly to move objects. Reasonable accommodations may be made as needed.
• Close visual acuity to inspect product for defects, read part numbers and labels, verify counts, prepare and analyze data and figures, and view a computer terminal.
• Subject to both environmental conditions; activities occur inside and outside.
• Protected from weather conditions but not necessarily from temperature changes.

QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

• High School Diploma required.
• Valid driver’s license required.
• Experience in warehouse operations, inventory control, receiving, or returns management preferred.
• Familiarity with contract or commercial furniture and components preferred.
• Strong attention to detail and a process-oriented, organized approach to tracking product and maintaining records.
• Proficiency with computers and inventory / ERP systems; experience with Business Central, Insight, and Excel a strong plus; comfort using handheld scanners.
• Strong communication skills and the ability to work effectively across Installation, Warehouse, and Project Management teams.
• Ability to organize resources, establish priorities among competing requests, and follow issues through to resolution.
