The Materials Coordinator is responsible for coordinating purchasing activities, maintaining inventory levels, managing warehouse operations, receiving and issuing materials, and ensuring the accuracy of inventory records for Madison Utilities. This position administers the procurement process, supports field and operational personnel, maintains material availability for utility operations, and utilizes work order management and inventory management systems to track materials, equipment, and related transactions. The employee may be required to work with limited supervision and perform duties in support of utility operations, emergency response, and customer service. Responsibilities: Coordinate the purchasing process from requisition through receipt of materials and services. Develop and maintain positive working relationships with suppliers, contractors, and MU personnel. Monitor inventory levels and ensure adequate stock of materials, supplies, tools, and equipment. Maintain accurate inventory records utilizing an inventory management system. Receive, inspect, verify, and store incoming materials and equipment. Issue materials, supplies, and equipment to field and office personnel. Coordinate and maintain warehouse organization, cleanliness, and security. Conduct routine cycle counts and physical inventories to ensure inventory accuracy. Research and resolve inventory discrepancies. Utilize the work order management system to issue materials and track usage. Coordinate material availability for construction, maintenance, water, wastewater, and administrative operations. Manage surplus, obsolete, and salvage inventory in accordance with utility policies. Maintain records of purchases, receipts, inventory transactions, and vendor performance. Operate utility vehicles, forklifts, pallet jacks, and warehouse equipment as authorized. Load, unload, transport, and distribute materials and equipment as required. Support emergency operations by ensuring materials and supplies are available during outages, repairs, or emergency response events. Follow all safety procedures and policies regarding warehouse operations, material handling, and storage. Assist with the development and continuous improvement of inventory and procurement procedures. Perform routine equipment maintenance. Check out, load, and transport equipment and material to job sites. Operation of MU trucks and equipment Operate miscellaneous equipment including jackhammer, saws, pumps, lawn mower, line trimmer and chain saw, and other job-specific tools as required. Responsible for the efficient upkeep and cleanliness of the MU Administrative and Operations Buildings and any other MU facilities Performs daily maintenance as well as occasional heavy cleaning duties Exterior cleaning of buildings and grounds when required, such as landscaping, weed pulling, window washing, etc. Follows procedures for the safe use of chemical cleaners and power machinery to prevent damage to floors or fixtures Notifies chain of command regarding any observed need for repairs or additions to building operating systems Other duties as assigned PHYSICAL DEMANDS AND WORKING ENVIRONMENT The conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job. Environment: Work is performed in an indoor plant and an outdoor field environment; travel from site to site; exposure to noise, dust, grease, smoke, fumes, noxious odors, gases, mechanical and electrical hazards, and all types of weather and temperature conditions; work in or around water; exposure to hazardous traffic conditions; work and/or walk on various types of surfaces including slippery or uneven surfaces and rough terrain; work at heights; may be required to respond to emergency and public calls after hours including evenings and weekends. Physical: Primary functions require sufficient physical ability and mobility to work in a field environment; to walk, stand, and sit for prolonged periods of time; to frequently stoop, bend, kneel, crouch, crawl, climb, reach, twist, grasp, and make repetitive hand movement in the performance of daily duties; to climb unusual heights on ladders; to life, carry, push, and/or pull moderate to heavy amounts of weight; to operate assigned equipment and vehicles; and to verbally communicate to exchange information. Position also requires employee to work in adverse conditions related to heat, cold, rain, snow, and limited confined spaces. Vision: See in the normal visual range with or without correction. Hearing: Hear in the normal audio range with or without correction Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. EDUCATION AND EXPERIENCE High school diploma or equivalent required. Associate degree in Supply Chain Management, Business Administration, Logistics, Warehouse Operations, or a related field preferred. Three (3) to five (5) years of experience in purchasing, inventory control, warehouse operations, materials management, or utility operations preferred. Experience in a public utility, municipal government, construction, or industrial environment preferred. COMMUNICATION SKILLS Ability to communicate effectively with supervisors, employees, vendors, contractors, and the public. Ability to prepare reports and maintain accurate records. COMPUTER SKILLS Proficient with Microsoft Office applications. Experience using inventory management systems and computerized purchasing systems. Experience with work order management systems such as CityWorks, Unity, etc. Ability to enter, retrieve, maintain, and analyze inventory and purchasing data. REASONING ABILITY Ability to identify inventory and procurement issues, analyze data, and implement effective solutions. Ability to prioritize work and manage multiple projects simultaneously. CERTIFICATES, LICENSES, REGISTRATIONS Driver's License CDL or the ability to obtain within six months of employment Grade I Water Certification or the ability to obtain within twelve months of employment Forklift certification preferred or ability to obtain within a designated timeframe OTHER REQUIREMENTS Willing to work extended hours, overtime, and weekends if required; willing to attend training conferences/trade shows to enhance job knowledge; subject to random drug and alcohol testing policy; maintain neat and professional appearance for meeting the public; punctual in attendance. All other duties as assigned for the benefit and efficiency of Madison Utilities. Compensation: $53,976 - $89,585 yearly
