Accounting Specialist - Payroll

We are seeking a detail-oriented and organized Accounting Specialist – Payroll to join our Business Services team. This position is responsible for maintaining payroll records, processing payroll transactions, reconciling payroll‑related accounts, preparing reports, and ensuring accurate and timely payroll operations for college employees. The ideal candidate will have experience in payroll or accounting, strong analytical skills, and a commitment to providing excellent service while maintaining confidentiality and accuracy. Minimum Qualifications Required: Associate’s degree or higher from a regionally accredited institution recognized by the U.S. Department of Education. Minimum of two (2) years of experience in payroll, accounting or a related field. Equivalent combination of experience and education that includes payroll/accounting responsibilities and community college experience may be considered. Preferred Qualifications Preferred: Experience with HRIS and payroll systems, particularly Colleague. Knowledge of payroll regulations and processes, including leave accruals, overtime and compensatory time, tax withholdings and reporting, employee insurance benefits, disability and workers’ compensation benefits, wage garnishment. Proficiency with Microsoft Office applications, especially Excel. Essential Job Duties and Responsibilities Maintain accurate payroll records for college personnel. Prepare payroll data for processing and verify accuracy. Calculate payroll and reconcile related payroll reports and accounts. Process direct deposits and payroll distribution. Prepare, reconcile, and distribute payroll deduction payments, including taxes, insurance premiums, and other withholdings. Prepare and transmit NACHA files for bank submission and support year‑end payroll reporting processes. Maintain and update files for year‑end audit. Communicate with managers regarding time and leave approvals and maintain payroll documentation and records for audits. Support departmental operations and perform additional duties as assigned. Demonstrate a commitment to the mission and values of the comprehensive community college. Communication Skills Ability to read, interpret, and apply policies, procedures, and technical documents. Strong written and verbal communication skills. Ability to interact effectively with employees, departments, and external agencies. Technical and Analytical Skills Strong numerical aptitude and attention to detail. Ability to perform payroll calculations and account reconciliations accurately. Proficiency with computer systems, payroll software, and standard office applications. Working knowledge of office equipment and administrative procedures. Problem Solving Ability to follow written and verbal instructions. Strong organizational skills and the ability to manage multiple priorities. Ability to identify and resolve routine payroll and accounting issues. Physical Demands Regular use of computer, phone, and other electronic equipment. Frequent communication and accurate information exchange. Ability to move around office or campus for meetings or access to files, machinery or other job‑related tools. Ability to lift and/or move equipment, tools or paperwork up to 25 pounds. Ability to reach, stoop, kneel or crouch to adjust or collect equipment and/or supplies. Visual demands include close vision and distance vision, with the ability to adjust focus. The work environment includes low to moderate noise levels.
