Job Title: Customer Service Representative
Location: Phoenix, AZ 85004
Duration: 5-Month Contract (Possibility of Extension)

Position Summary

We are seeking a Customer Service Representative to join our team. The ideal candidate will have strong experience in customer service, office administration, and accurate data entry, along with a proven ability to manage inquiries, maintain precise records, and communicate with diverse stakeholders in a professional environment.

Key Responsibilities

• Answer main phone lines, screen calls, greet callers and walk-ins, and route inquiries accurately and timely.
• Register parties for hearings, including names, phone numbers, and call times.
• Elevate complex case inquiries to Docket Officer paralegals, Supervisors, or Administrative Law Judges.
• Communicate verbally and in writing regarding case and hearing status.
• Respond to appeal status inquiries from internal and external customers and process requests.
• Research multiple databases to address case status questions.
• Enter data into the case management system to document information and conversations.
• Perform secretarial tasks including processing mail and faxes, word processing decisions, and copying electronic records and digital recordings.

Required Skills & Qualifications

• Proficiency with Microsoft Office programs.
• Knowledge of professional conduct, confidentiality, and ethical guidelines for protecting customer information.
• Strong customer service skills with the ability to handle diverse and upset customers with tact and diplomacy.
• Excellent interpersonal communication and effective decision-making abilities.
• Professional verbal and written communication skills.
• Accurate typing and proficiency operating office equipment, including PCs, scanners, and fax machines.
• Ability to use a personal computer with multiple programs running simultaneously.
• Ability to perform repetitive, detail-oriented work with a high level of accuracy.
• Ability to sit for prolonged periods and research data using a case tracking system.

Preferred Qualifications

• Basic secretarial, legal support, or professional office experience.
• Customer service experience handling both phone and in-person inquiries.
