Job Info Job Description The Controller is a key member of the finance leadership team at Mercy & Truth Healthcare Ministry. This position is responsible for the day-to-day accounting operations of the organization while ensuring financial accuracy, regulatory compliance, grant management, payroll oversight, accounts payable oversight, board reporting support, budgeting and forecasting support, account reconciliations, audit preparation, revenue cycle financial support, 340B financial oversight, and financial reporting. Working closely with the CEO, fractional CFO leadership, Revenue Cycle Management (RCM) team, department leaders, funding agencies, auditors, vendors, and community partners, this position supports sound financial stewardship while advancing the organization's mission. In addition to managing routine accounting functions, the Controller supports budgeting, forecasting, financial analysis, implementation of new programs and service lines, grant compliance, process improvement, internal controls, board reporting, and strategic financial initiatives that support the continued growth of Mercy &Truth Healthcare Ministry. This role is designed to provide strong full-time, in-house finance and accounting leadership while Mercy &Truth continues to leverage fractional CFO support as needed for senior-level financial strategy, major analysis, board-facing advisory, and special projects. Manage the monthly, quarterly, and annual financial closing processes, including close checklists, journal entries, reconciliations, supporting schedules, and appropriate review documentation. Record and maintain accurate financial records, including journal entries, general ledger accounts, subsidiary ledgers, accruals, recurring entries, and revenue recognition entries. Prepare and analyze monthly financial reports for leadership and Board of Directors meetings, including statements of financial position, statements of activities, cash flow information, budget-to-actual reporting, dashboards, and supporting schedules. Maintain organized accounting records, supporting documentation, and audit-ready financial schedules. Assist with annual audits and preparation of audit schedules, requested documentation, reconciliations, and management responses. Support budgeting, forecasting, financial planning, cash flow projections, and internal financial reporting. Support process improvement initiatives and strengthen internal financial controls across the accounting and finance function. Work with fractional CFO leadership to translate financial results into clear, practical information for management and Board decision making. Board Reporting, Budgeting & Forecasting Prepare monthly, quarterly, and annual financial reporting packages for leadership and Board of Directors meetings. Assist in developing Board presentations and provide supporting financial analysis, variance explanations, and key financial insights. Coordinate the annual budgeting process and assist department leaders with budget development and financial planning. Maintain budget-to-actual reporting and assist leadership in understanding significant variances, trends, risks, and opportunities. Support ongoing forecasting, cash flow projections, scenario modelling, and financial planning activities. Collaborate with fractional CFO leadership on board reporting improvements, KPI dashboards, long-range planning, and strategic finance initiatives. Manage financial activities related to federal, state, local, and foundation grants. Monitor grant budgets, match requirements, restrictions, reporting deadlines, and compliance obligations. Ensure expenditures comply with approved funding requirements and are supported by appropriate documentation. Prepare monthly and annual reimbursement requests and financial reports for grant-funded programs. Maintain grant schedules, deferred revenue schedules, revenue recognition support, and documentation required for grant compliance and audits. Assist with annual grant renewals, budget revisions, financial reporting, monitoring visits, and audit requests. Collaborate with program directors to ensure timely reporting and compliance with grant requirements. Support conditional versus restricted grant analysis and release tracking in accordance with organizational policy and applicable accounting standards. Accounts Payable Oversee vendor invoice processing, including verifying accuracy, coding, documentation, and necessary approvals. Prepare and process payments for approved invoices in accordance with organizational policies and cash flow needs. Reconcile vendor accounts, monitor accounts payable aging, and resolve discrepancies timely. Maintain professional verbal and written communication with vendors regarding payment status, outstanding balances, documentation, and account questions. Assist with account reconciliations and supporting schedules related to vendor activity. Identify opportunities to improve accounts payable workflow, approval controls, documentation, and payment visibility. Accounts Receivable & Revenue Cycle Support Work collaboratively with the Revenue Cycle Management (RCM) and Billing Department on financial reconciliation, reporting, and analysis. Assist with financial reconciliation related to billing, collections, reimbursements, contractual adjustments, write-offs, and patient revenue reporting. Support monthly patient revenue reconciliation between billing system activity and the general ledger. Support financial analysis of reimbursement trends, payer performance, revenue opportunities, and revenue cycle improvement initiatives. Assist leadership and fractional CFO support in identifying revenue cycle trends that impact financial reporting, cash flow, and operational decision making. Review monthly 340B financial reports, contract pharmacy remittances, and related financial activity. Assist with reconciliation of 340B revenue, pharmacy fees, cash receipts, and contract pharmacy performance. Support 340B compliance, audit readiness, reporting, and documentation from a finance perspective. Monitor 340B financial performance trends and support analysis of contract pharmacy arrangements, amendments, and related economics. Coordinate with leadership, consultants, and fractional CFO support to ensure 340B activity is appropriately reflected in financial reporting and monthly close processes. Reconcile bank accounts, credit card accounts, investment accounts, and general ledger accounts monthly. Own balance sheet reconciliations and ensure all material accounts are reconciled, reviewed, and supported. Investigate and resolve accounting discrepancies, unusual balances, reconciling items, and unapplied activity. Ensure timely reconciliation of all assigned financial accounts. Maintain supporting documentation for all reconciliations and related adjustments. Identify recurring reconciliation issues and recommend process improvements to prevent future errors. Payroll & Human Resources Support Coordinate payroll processing and ensure payroll activity is recorded accurately and timely. Ensure compliance with applicable payroll laws, regulations, filing requirements, and organizational policies. Prepare or review payroll tax reports, filings, and supporting schedules. Maintain payroll records and supporting documentation. Assist with employee PTO tracking, vacation balances, leave administration, payroll accruals, and related payroll policies. Coordinate with human resources or external payroll support regarding payroll changes, employee benefit changes, deductions, and related documentation. Leadership Support Participate in finance team meetings and organizational leadership meetings and serve as a key financial resource to leadership. Work directly with the CEO, fractional CFO leadership, and leadership team on financial planning and operational initiatives. Assist leadership with budgeting, financial forecasting, cash flow planning, and strategic decision-making. Provide financial analysis for new partnerships, contracts, grants, funding opportunities, and business opportunities. Assist in evaluating new lines of service and developing financial integration plans for new programs and initiatives. Participate in cost analysis for proposed services, partnerships, contracts, and organizational growth opportunities. Represent Mercy & Truth Healthcare Ministry in meetings or conferences with vendors, auditors, foundations, community partners, funding agencies, Community Care Network of Kansas (CCNK), The Kansas Primary Care Association (PCA), and other external stakeholders as requested. Collaborate with fractional CFO leadership on strategic financial initiatives, reporting improvements, board presentation support, and long-term financial planning. Administrative & Operational Support Maintain organized electronic and paper accounting records. Process and maintain staff receipts and supporting financial documentation as needed. Assist with document management and retention in accordance with organizational policies. Support implementation of improved finance workflows, document storage practices, and internal control procedures. Provide administrative support to the finance department as needed, while prioritizing financial reporting, reconciliations, compliance, and analysis responsibilities. Other Duties Perform other duties as assigned. Support implementation of new financial systems, policies, and procedures. Assist with organizational growth initiatives and expansion of services. Contribute to special projects and cross-department initiatives that improve organizational effectiveness. Support continued development of a consistent, repeatable monthly close and reporting process. Qualifications, Skills, Education Qualifications Bachelor's degree in Accounting, Finance, Business Administration, or related field required or strongly preferred. 5–7+ years of progressively responsible accounting experience required or strongly preferred. Nonprofit accounting experience preferred but not required. Grant accounting and compliance experience strongly preferred but not required. Healthcare, FQHC, Look-Alike, community health center, or healthcare reimbursement experience preferred but not required. Experience with QuickBooks Online or comparable accounting software. Strong understanding of Generally Accepted Accounting Principles (GAAP) and nonprofit financial reporting principles. Proficiency in Microsoft Excel, including formulas, pivot tables, financial reporting, and data analysis. Knowledge, Skills & Abilities Strong understanding of accounting procedures and principles, including maintaining accurate financial records, reconciling accounts, preparing financial reports, and supporting monthly close processes.
