Job Summary As Front Desk Supervisor, you will work under the Center Operations Director and/or Clinical Dyad leader to organize and direct front desk staff. You will coordinate staff activities and schedules, train Care Facilitators, and lead front office operations—including quality, compliance, human resources, patient experience, and direct supervision—while enhancing the VIP patient journey from entry to exit. ESSENTIAL JOB DUTIES/RESPONSIBILITIES Leads a team of Care Facilitators and other front desk staff. Supervisory tasks include setting performance goals, developing top talent, and implementing progressive improvements. Engagement & Development Instills ChenMed values and behaviors. Builds culture and strong engagement. Promotes team member retention. Provides clear onboarding expectations. Fosters team member development through coaching and leadership rounding. Operational Excellence Consistently executes the core model and follows the Center Playbook procedures. Leads engagement and development, operational excellence, and scheduling optimization. Shares patient flow metrics and efficiency targets with front desk staff. Maintains focus on patient retention and positive customer experience, remaining available and accessible to team members and patients. Scheduling Optimization Adheres to enterprise scheduling templates and ensures 100 % of patients are assigned and scheduled. Schedules top‑40 and risk‑score 70+ patients at least bi‑weekly. Schedules IP/ER discharge follow‑up immediately, with daily follow‑up. Partners with the growth team to ensure THV‑EE and CMAP scheduling is 100 % completed. Ensures Care Facilitators have required resources and clear priorities. Contributes to hiring and selecting Care Facilitators and other front desk staff. Front Desk Ambassador Assists patients in and out of their vehicles and opens doors. Checks in patients waiting longer than 10 minutes, providing updates. Engages patients to enhance overall experience. Maintains Mary’s Cafe front‑end, stocked and accessible. Monitors and enforces OSHA, clinical, and quality standards. Acts as first point of contact for escalated patient issues. Supports PCP scheduling, managing block usage and preventing over‑booking. Reviews ENS notifications and ensures follow‑up. Verifies medical release forms for accuracy and PCP signature prior to release. Manages e‑fax folder and document uploads. Reviews phone messages to ensure proper routing and timely follow‑up. Troubleshoots dashboard, phone, and computer issues. Orders office and other supplies to keep the center inventoried and stocked. Other Responsibilities May Include Substitutes for Care Facilitators during absences. Performs various front desk tasks as needed. Supports VIP experience by assisting with new‑patient paperwork and tours. Performs duties as assigned by manager. Knowledge, Skills, and Abilities Strong business acumen and acuity. Good knowledge of general operations standards, functions, methods, and procedures. Understanding of regulatory standards and local, state, and federal laws. Excellent critical reasoning, decision‑making, and problem‑solving skills. Strong organizational skills and attention to detail. Strong leadership, training, written and verbal communication, and presentation skills. Working knowledge of medical insurance and/or electronic medical record systems. Basic IT skills: phones, computers, software. Professional and courteous communication with employees, patients, and others. Proficient in Microsoft Office Suite and related software. Willingness to travel locally, regionally, and nationwide up to 10 % of time. Fluency in English. Education and Experience Criteria High school diploma or GED equivalent required. Ability to lead and coach teams. Some college coursework preferred. Minimum of 3 years of work experience in a medical facility. BLS for Healthcare Providers certification desired. Pay Range $20.20 – $28.83 per hour. Final compensation depends on experience, education, location and other factors. May also qualify for bonuses or commissions.
