SALES OPERATIONS COORDINATOR

Employment Type: Independent Contractor
Location: Remote, U.S. preferred

We are looking for an organized, proactive, and detail-oriented Sales Operations Coordinator to support the day-to-day operations behind our sales efforts.

This role is ideal for someone who enjoys keeping things organized, following processes, working within systems, and making sure important details and follow-ups do not fall through the cracks. The Sales Operations Coordinator will help maintain sales pipelines and CRM data, organize leads and prospect information, coordinate outreach activities, track follow-ups and next steps, prepare reports, and provide administrative and operational support to the individuals leading our sales efforts.

This is a hands-on support role rather than a sales leadership position. One will work closely with sales leadership, account teams, marketing, and other team members to help ensure our sales efforts stay organized, accurate, and moving forward.

The role may support both Paravel's internal business development efforts and sales initiatives for select client engagements.

CRM & Pipeline Support

• Maintain accurate and up-to-date information within CRM and sales systems

• Enter and update leads, contacts, opportunities, notes, activities, and next steps

• Help keep sales pipelines organized and current

• Monitor opportunities for upcoming follow-ups and outstanding action items

• Assist with maintaining clean and accurate sales data

• Flag missing information, overdue follow-ups, or opportunities that may need attention

Lead & Prospect Support

• Research and organize prospect and lead information

• Build and maintain prospect lists

• Assist with lead imports, organization, segmentation, and assignment

• Support outbound sales and lead-generation initiatives

• Track outreach activity and responses

• Help ensure new leads are routed to the appropriate person and followed up with

Sales Coordination

• Support scheduling and preparation for prospect and sales meetings

• Help prepare presentations, proposals, sales materials, and other resources

• Document meeting notes, action items, and next steps when needed

• Track follow-up items and help keep sales activities moving forward

• Coordinate information between sales, marketing, account teams, and leadership

• Assist with the handoff of new clients or opportunities once a sale is completed

Reporting & Tracking

• Maintain recurring sales reports and dashboards

• Track sales activity, meetings, leads, opportunities, pipeline value, and other established metrics

• Compile information for regular sales updates

• Assist leadership with pipeline reviews and forecasting

• Help identify missing or inconsistent information within sales reporting

Sales Operations Support

• Follow established sales processes, workflows, and procedures

• Maintain sales templates, documents, trackers, and resources

• Assist with email outreach and nurture campaigns

• Support coordination between sales and marketing initiatives

• Help document processes as they are developed or updated

• Provide general administrative and operational support for sales initiatives

Client Sales Program Support

• Assist with sales operations for select Paravel client engagements

• Maintain client-specific lead lists, pipelines, trackers, and reporting

• Track activity and progress toward established program goals

• Coordinate information between Paravel team members, client stakeholders, and sales partners

• Help ensure client sales programs remain organized and on schedule

The ideal candidate will have:

• 1–3 years of experience in sales support, sales operations, administrative coordination, account support, marketing coordination, or a related role

• Strong organizational skills and attention to detail

• Comfort working with CRM systems, spreadsheets, and other business technology

• Strong written and verbal communication skills

• Ability to follow established processes while identifying when something needs attention

• Ability to manage multiple tasks and deadlines

• Strong follow-through and reliability

• Comfort working independently in a remote environment

• Willingness to learn new systems and processes

• Experience supporting sales, lead generation, or business development is preferred but not required

Success in this role means the details behind our sales efforts are organized and dependable. CRM information is current, leads are properly tracked, follow-ups are not getting lost, reports are accurate, and the people leading sales have the information and support they need to focus on building relationships and closing opportunities.

One does not need to be the person setting the sales strategy. Do need to be someone who enjoys ensuring the strategy is supported by strong organization, consistent execution, and excellent follow-through.
