Client Service Scheduling Coordinator

Work Schedule In-office Monday-Friday, approximately 25-30 hours per week. Preferred schedule is 9:00 AM-3:00 PM, with some flexibility in start and end times. Position Summary We are seeking a highly organized, dependable, and client-focused Client Service Associate & Scheduling Coordinator to support our growing financial advisory and wealth management practice. This role is responsible for managing client appointments, coordinating advisor calendars, maintaining accurate client records within Ameriprise technology platforms and CRM systems, and delivering exceptional client service. The ideal candidate is detail-oriented, proactive, professional, and comfortable using technology in a fast-paced, client-focused environment. Key Responsibilities Scheduling & Calendar Management Schedule, confirm, and reschedule client appointments. Manage advisor calendars to maximize efficiency and availability. Coordinate in-person, virtual, and telephone meetings. Send appointment reminders and follow-up communications. Resolve scheduling conflicts and prioritize urgent requests. Maintain accurate client information within Ameriprise technology systems and CRM platforms. Enter and update client interactions, meeting notes, and activity records. Track follow-up tasks and workflow items. Assist with maintaining data integrity and client records. Client Service Serve as a professional first point of contact for clients. Answer incoming calls and respond to scheduling inquiries. Provide friendly, timely, and confidential client support. Assist with appointment preparation and follow-up activities. Administrative Support Prepare and distribute meeting confirmations and correspondence. Maintain organized electronic client files. Generate reports and assist with administrative projects as needed. Support compliance and recordkeeping requirements. Qualifications Required High school diploma or equivalent. Strong organizational and multitasking skills. Excellent verbal and written communication skills. Proficiency in Microsoft Outlook, Word, Excel, and Teams. Ability to maintain confidentiality and handle sensitive information. Strong attention to detail and follow-through. Preferred Experience in scheduling, administrative support, customer service, or office administration. Experience using Ameriprise technology platforms or similar financial services technology systems. Familiarity with CRM systems and workflow management tools. Experience in a financial service, banking, insurance, healthcare, legal, or other professional office environment. Key Attributes Professional and client focused. Organized and detail oriented.
