The Project Engineer plans, organizes, and manages all document control and distribution processes for the Planning, Design & Construction (PD&C) function, supporting construction projects from initial planning through closeout. This role serves as a central coordination point between contractors, architects, and internal stakeholders, ensuring that all project documentation is accurate, complete, and properly archived. The Project Engineer participates in regular project meetings, prepares agendas and minutes, supports project managers with administrative and technical tasks, and contributes to effective communication and collaboration across multiple concurrent construction projects.

Responsibilities

• Plan, organize, and manage document control and distribution processes and systems for the Planning, Design & Construction department across all project phases, from early development through completion.

• Coordinate all construction project-related documentation received from and sent to contractors, architects, and internal staff, ensuring timely distribution and proper routing.

• Meet regularly with project stakeholders to stay informed of project status at all stages and track progress, risks, and key decisions.

• Prepare meeting agendas as needed, record detailed minutes, and distribute summaries of discussions, decisions, and approved actions.

• Scan, distribute, and file project documents, including designs, drawings, specifications, estimates, correspondence, and other records, in the appropriate archival repository.

• Verify and correct project-related documentation to ensure accuracy, completeness, and compliance with established standards and procedures.

• Maintain organized, accurate, clear, and complete document control systems, processes, and procedures, and continuously improve documentation practices.

• Maintain effective and ongoing communication with construction and contractor management teams to support smooth project execution.

• Provide initial review of pay applications, change orders, RFIs, submittals, and other incoming construction documents to support project managers in their decision-making.

• Support project engineering and project management activities, including project coordination, estimation, cost control, scheduling, and construction administration as needed.

• Assist in tenant improvement projects, including mechanical, electrical, plumbing (MEP), facility systems, and commercial construction work.

• Support 2–3 project managers who each manage 10–20 projects, providing heavy administrative and documentation support.

• Conduct site walks to review site conditions, support project closeout activities, and verify that documentation aligns with field conditions.

• Organize and complete project documentation, ensuring that all required forms, permits, test and inspection records, and closeout documents are properly maintained.

• Apply knowledge of building codes, standards, sustainability requirements, and contract administration to support project documentation and compliance.

• Follow up consistently on outstanding items, action plans, and documentation needs to keep projects on track.

• Anticipate information and documentation needs of the project team, staying disciplined, organized, and prepared.

• Perform other project engineering, project management-related duties, and incidental tasks as needed or assigned.

Essential Skills

• Minimum of a bachelor's degree in a work-related discipline such as Architecture, Engineering, or Construction Management from an accredited college or university.

• Minimum of three (3) years of related experience in construction, design, or construction management.

• Direct experience in construction environments, including exposure to commercial construction and tenant improvement projects.

• Strong documentation skills, with the ability to organize, maintain, and complete project records accurately.

• Proficiency with Microsoft Office Suite, including strong capabilities in Excel and PowerPoint.

• Fluency with computer skills and digital document management tools.

• Knowledge and practical use of project management tools and methodologies.

• Knowledge of CAD and CAFM systems and their role in design and facilities management.

• Knowledge of estimating, cost control, project scheduling, construction administration, and quality control processes.

• Knowledge of mechanical, electrical, and plumbing (MEP) systems and facility systems in a construction context.

• Knowledge of project management, accounting, construction design, construction methods, building materials, sustainability, and contract administration.

• Knowledge of building codes and standards relevant to construction projects.

• Knowledge of healthcare delivery environments, architecture, and the building design and construction process in healthcare settings.

• Knowledge of OSHPD forms, applications, fees, permits, tests, and inspection forms.

• Knowledge of RFI, PCO, submittal, change order, and invoicing processes.

• Ability to read and interpret drawings and schematics.

• Ability to plan, organize, prioritize, and complete work within deadlines while maintaining accuracy and attention to detail at every step.

• Ability to communicate effectively, both orally and in writing, with technical and non-technical stakeholders.

• Ability to establish and maintain effective working relationships and gain the cooperation of others at all levels, internally and externally.

• Demonstrated discipline, organization, and preparedness, with the ability to anticipate project and documentation needs.

• Strong follow-up skills and a high level of ownership over administrative and documentation tasks.

• Strong desire and ability to learn, grow, and take on increasing responsibility in project engineering and management.

Additional Skills & Qualifications

• Experience supporting multiple project managers simultaneously, each managing numerous concurrent projects.

• Experience with tenant improvement projects in a hospital or healthcare-related environment.

• Experience with construction management, project engineering, project coordination, RFIs, change orders, estimation, and facility systems.

• Exposure to mechanical, electrical, plumbing, and commercial construction projects.

• Experience with project scheduling and cost and scheduling processes is preferred.

• OSHA-10 certification is preferred.

• Interest in obtaining PMP certification to support career advancement in project management.

• Familiarity with sustainability practices and quality control in construction.

• Ability to work effectively in a heavy administrative role, managing large volumes of documentation and follow-up.

• Comfort conducting site walks, assessing site conditions, and supporting project closeout activities.

Work Environment

The role is based in an offsite facility associated with a main hospital campus in Menlo Park, within a Project Management Office that includes environmental health and safety, facilities, maintenance, and construction functions. The team oversees tenant improvement projects for the hospital, working closely with construction and contractor management teams and other internal stakeholders. The schedule follows a Monday through Friday workweek, starting at 7:00 a.m., supporting active construction and facilities operations during core hours. The environment is professional and business-formal, with regular interaction across technical, administrative, and field personnel, and occasional visits to active construction sites to conduct walks, review site conditions, and support closeout activities.

Job Type & Location

This is a Contract to Hire position based out of Menlo Park, CA.

Pay and Benefits

The pay range for this position is $45.00 - $55.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
