Medical Records Specialist

Doctors of Physical Therapy is seeking a full-time Billing Claims Specialist. Doctors of Physical Therapy is a growing rehabilitation company founded in 2005. Our billing team is vital to the success of our company. For this important role, we are looking for a reliable and professional team member with employment goals for a career, not just a job! • Proficiency in Microsoft Office including Excel, Word.
• Must have attention to detail with an eye for accuracy.
• Creative, self-disciplined, and capable of identifying and completing critical tasks independently and with a sense of urgency.
• Must be enthusiastic, must be able to multi-task and proactively problem solve.

Hours: Monday-Friday 8am - 4:30pm or 8:30am - 5pm Position Summary: The Medical Records Specialist is responsible for accurately managing, organizing, retrieving, and processing patient medical records in accordance with company policies, payer requirements, and applicable privacy regulations. This role requires strong attention to detail, organization, communication, and the ability to work efficiently in a fast-paced healthcare environment. Key Responsibilities: -Process outgoing medical record requests in a timely and accurate manner.

• Retrieve medical records from EMR systems, provider portals, clinics, and other approved sources.
• Review records for completeness and ensure requested documentation is included before submission.
• Respond to requests from internal departments, clinics, payers, attorneys, patients, and other authorized parties as appropriate.
• Follow up on outstanding medical record requests and document all communication and status updates.
• Maintain accurate tracking of requested, received, and submitted records.
• Ensure all medical record activity is completed in compliance with HIPAA, company policies, and applicable state and federal regulations.
• Protect patient confidentiality and handle protected health information appropriately.
• Communicate with clinics and internal departments to resolve missing, incomplete, or incorrect documentation.
• Monitor assigned work queues, emails, team chats, and other communication channels to ensure requests are completed within required timeframes.
• Escalate concerns or delays to leadership when necessary.
• Maintain productivity and quality standards established by the department.
• Assist with additional departmental projects and responsibilities as needed.
