Role Description As a Recruiting Coordinator you will serve as the central hub and critical component of the hiring and onboarding process for CoStar. You will work closely with Recruiter teams to facilitate the full life‑cycle recruiting process—from offer to pre‑employment—by coordinating interviews, generating offer letters, managing background investigations, and ensuring a smooth transition for new hires into Human Resources. Your role will also involve tracking status, creating reports, and communicating progress to stakeholders while maintaining a high‑quality candidate and employee experience. Responsibilities Coordinate and manage the hiring process from interview to onboarding for recruiters across the organization. Create, receive, and track all offer letters, new hire agreements, and pre‑employment paperwork. Initiate, track, and troubleshoot background investigations (including Motor Vehicle Reports, Credit Checks) and drug screens. Accurately track all new hires through hiring stages in real time and inform all interested parties to ensure a smooth onboarding process. Act as the resident expert on Applicant Tracking System (ATS) and Workday processes; schedule interview days, send confirmations, and manage interview calendars. Schedule travel and lodging arrangements for candidates and new hires as needed in Navan. Provide a white‑glove candidate experience for on‑site interviews, greeting and supporting candidates at all talent levels. Support campus recruiting efforts by scheduling on‑campus visits, coordinating callback days, and tracking candidate vitals for reporting. Monitor and manage incoming tickets through the AskHR case management system, assigning tickets to appropriate team members. Assist with special projects, such as reporting, system testing, process improvement initiatives, and other departmental tasks. Basic Qualifications Bachelor’s degree in Business, Human Resources, Communication or a related field from a not‑for‑profit college or university. At least 1 year of HR/Recruiting/Administration experience. Understanding of value‑add HR and talent acquisition concepts. Strong written and verbal communication skills with the ability to build relationships with employees, managers and stakeholders at all levels. Capacity to apply discretion and maintain confidentiality when handling sensitive information. Proficiency with Microsoft Outlook, Word, Excel and experience with ATS/Workday preferred. Track record of commitment to previous employers and demonstration of competencies: sense of urgency, motivation, detailed approach, intellectual curiosity, adaptability, problem solving, and communication skills. Preferred Qualifications and Skills Experience in expense management, travel, and invoicing software. Experience with Workday and Eightfold.
