Inventory & Fulfillment Specialist

The Inventory & Fulfillment Specialist is primarily responsible for accurately transacting and managing the flow of inventory, including finished goods, diamonds, metal, and supplemental goods, in and out of inventory and picking locations. Additional responsibilities include effectively facilitating the flow of finished goods, diamonds, and other components through the entire supply chain, leading to lower inventory levels, high supplier performance, and high customer satisfaction. ESSENTIAL DUTIES & RESPONSIBILITIES Inventory Management Accurately receive, inspect, and process high-value inventory, including finished fine jewelry and diamonds, via Purchase Orders, Production Orders, Transfers, Memos, and supplier shipments. Transact all inventory movements accurately within Microsoft Dynamics AX, ensuring seamless tracking across all systems. Replenish incoming jewelry stock daily, maintain meticulously organized and clearly labeled product bins, and configure new bin locations for seasonal product launches or collection retirements. Conduct regular cycle counts and full physical inventory audits; actively contribute to root-cause analysis for any inventory discrepancies. Assist with specialty workflows, including the Hearts On Fire (HOF) diamond verification process and special inventory tagging (e.g., travel lines and department store allocations). Efficiently pick, verify, and pack outbound customer orders, Sales Orders, and Memos; accurately post packing slips and invoices using automated and manual shipping tools. Ensure full compliance by confirming that all required domestic and international shipping documentation accompanies outbound shipments. Promptly communicate and collaborate with Production Planning, Finance, and Inventory teams to resolve any shipment or order discrepancies. Team Collaboration & Operational Support Serve as a reliable point of contact for team members across departments regarding product availability, stock status, and inventory inquiries. Over time, cross-train in adjacent operational functions and support additional tasks as needed to drive team success. Step in to assist with team projects and additional duties as needed to keep daily operations running smoothly. QUALIFICATIONS Minimum two years’ experience in a shipping, receiving and inventory fulfillment environment. Superior organizational skills and relentless attention to details. Excellent communication skills and a customer service orientation, experience interacting with customers and suppliers. Ability to multi-task, prioritize and manage a sizable and varied workload. Comfortable working with deadlines in a fast paced and demanding environment. An ability to embrace a team atmosphere and work cooperatively with colleagues and others in the organization Experience using, and proficiency with, software applications, such as ERP systems, spreadsheets, and manufacturing management software systems.
