The Simulation Coordinator is responsible for coordinating the daily operations of the dental school’s simulation laboratory to ensure a safe, organized, efficient, and instruction-ready learning environment. This position manages simulation equipment and laboratory readiness, inventory and purchasing activities, and the preparation and distribution of materials required for preclinical courses, practical examinations, and open laboratory sessions. The Simulation Coordinator works closely with faculty, course directors, students, vendors, and institutional departments to support equipment functionality, troubleshoot operational issues, and ensure continuity of laboratory activities. The position also provides critical academic support through the preparation and administration of practical and computerized assessments, maintenance and verification of student grades and assessment records, and timely submission of final grades to the Curriculum Office.

Duties & Responsibilities:

• Coordinate daily simulation laboratory operations by reviewing academic schedules, preparing laboratory spaces for preclinical modules, practical examinations, and open lab sessions, and collaborating with faculty and course directors to ensure required equipment, materials, technology, and instructional resources are available.
• Maintain simulation equipment, technology, and laboratory environments by conducting routine operational inspections, identifying and troubleshooting equipment issues, performing appropriate repairs and maintenance, coordinating vendor service and technical support, and maintaining accurate equipment service and maintenance records.
• Manage simulation laboratory inventory and supply operations by monitoring inventory levels, conducting routine physical inventory checks and reconciliations, maintaining accurate inventory records, organizing storage areas, and anticipating material and equipment requirements based on upcoming academic activities.
• Coordinate purchasing and receiving activities by preparing purchase requisitions and purchase orders, reviewing vendor pricing and product specifications, tracking outstanding orders and backorders, verifying received material against purchasing documentation, and ensuring items are accurately recorded, labeled, and stored.
• Coordinate the preparation and administration of student assessments by supporting practical, computerized, competency-based, and clinical examinations; preparing examination stations and materials; proctoring assessments; maintaining examination security; and troubleshooting technical, behavioral, equipment, or procedural issues.
• Maintain and verify student assessment and academic records by accurately entering and tracking examination, practical, competency, remediation, and laboratory grades; reviewing calculations and assessment completion; identifying and resolving discrepancies; and maintaining supporting documentation.
• Coordinate final grade reconciliation and submission by conducting final reviews of course and module records, verifying the accuracy and completeness of student grades, and submitting final grades through approved academic systems and to the Curriculum Office within established deadlines.
• Support compliance, safety, and continuous operational improvement by maintaining organized and compliant laboratory spaces, protecting confidential student and assessment information, following institutional and examination policies, and collaborating with faculty, staff, students, vendors, and other departments to address operational needs and improve simulation laboratory processes.
• Performs other duties as assigned.

Skills & Experience:

• High school diploma or equivalent, Required
• High school plus one-year technical training or schooling, Preferred
• DANB certification(s) or state dental assisting certification preferred.
• Experience in a dental school or academic health sciences environment.
• Working knowledge of dental instruments, materials, and preclinical procedures.
• Knowledge of protected information laws (HIPAA/FERPA).
• Familiarity with axiUm, Canvas, or similar academic systems.
• Knowledge of CODA standards related to preclinical education.
• Excellent communication and interpersonal skills.
• Dental assisting certification or dental laboratory background.
• Strong operational coordination skills.
• Technical and mechanical aptitude.
• Excellent attention to detail.
• Ability to work independently and collaboratively in a fast-paced, team-oriented environment.
• Ability to instruct and coach students respectfully in preclinical settings.
• Ability to adapt to evolving simulation technologies.
