The Grants Administrator will be both a member of the Office of Research & Innovation, reporting to the Associate Provost for Research & Innovation, and a liaison to the School of Health Sciences (SOHS), the College of Arts, Sciences, and Education (CASE), and/or the College of Business and Entrepreneurship (CBE), working with the respective Dean. This position serves as liaison between the faculty applying for grants, the Sponsored Programs staff for pre-award and post-award, and the granting agencies. The Grants Administrator will work with Sponsored Programs pre-award staff to research, prepare, and submit grant proposals, and work with Sponsored Programs post-award staff to manage funded grants, assist in hiring and ordering, and administer reports that meet funder guidelines and criteria. The Grants Administrator will assist in grant writing/editing, managing external relationships, engaging in compliance reporting, and supporting special project initiatives. This position requires strong writing, data analysis, program budgeting, project management skills, with an emphasis on outcome measurement. Responsibilities of the Grant Administrator include: PRE - Award Services Lead grant proposal development and submission—preparing and organizing materials for proposals, and submitting and monitoring grant applications, including: Researching new funding and business development opportunities on local, state, and federal levels. Maintaining and building relationships with faculty and staff, as well as funders and other strategic partners on a local, state, and national level. Participation in drafting proposals/letters of intent, grant application narratives, and budgets and collaborate to finalize with Sponsored Programs pre-award staff, finance (as needed), and both the Deans and Associate Provost for Research & Innovation. Uploading grant applications via online portals. Meeting with faculty and staff to explore funding opportunities. Maintaining master calendar of grants and prospects and all associated files and correspondence. Maintaining library of grant support documents including biosketches, facilities/equipment resources pages, and other forms needed for federal grants. Executing and facilitating grant contracts/agreements with Sponsored Programs post-award staff. Ensuring acknowledgment of funders/investors via website, e-newsletter, and social media. POST - Award Services Provide post-award, grant management assistance to faculty, including: Purchasing – request quotes for equipment, create purchase orders, place orders from vendors, receive deliveries, track purchases. Hiring – work with faculty and Human Resources to hire students during the academic year and summer, to hire technical and/or research staff (i.e., postdoctoral fellows), and to hire additional staff as needed. Budget maintenance and spending reporting – monthly assessment and reporting of grant-related spending for investigators to ensure proper/timely spend-down of all grants.COMPLIANCE & REPORTING
Maintain grant compliance and reporting, including outcome measurement and grant budgets—taking responsibility for meeting high standards of effectiveness, timeliness, and completeness, including: Monitoring and maintaining funder reporting schedules and requirements. Tracking progress toward organizational and programmatic outcomes and goals. Requesting reimbursements and drawdowns as needed. Drafting compelling progress reports and targeted program updates to funders that fully capture programmatic success as needed. Assembling all necessary supporting materials and documents including budget reports, outcome measurements, success stories, etc. Submit reports to funders and/or investors. Researching statistics, trends, and data for grant proposals including: Performing research and data-gathering—both from external sources and WSSU institutional and program data. N/A Requirements and Preferences Position required to work during periods of adverse weather or other emergencies Not Mandatory Normal Work Schedule 8:00AM to 5:00PM Monday-Friday Department Required Skills Bachelor’s degree and 2-3 years of work experience with grant-related administration, grant writing, or fundraising OR equivalent combination of education and experience Experience in fundraising, grant writing, or grants management. Intermediate to expert skills in Microsoft Office (specifically Word, Excel, and PowerPoint). Experience with a Grants Management platform would be a plus. Familiarity and experience working with local, state, national, and governmental funders. Ability to work under pressure and respond to deadlines without sacrificing quality. Demonstrated interest in the mission, vision, and values of WSSU, the Office of the Provost, and the Office of Research & Innovation Preferred Years Experience, Skills, Training, Education Demonstrated analytical and persuasive writing skills, experience as well as superior editing skills, including ability to convey complex information in a clear manner to a diverse audience. Strong administrative skills and self-motivated with the ability to set priorities and manage multiple tasks under minimal supervision in an effective and efficient manner.
