Finance Transaction Coordinator

The Finance Transaction Coordinator supports the CFO and Finance team by managing the end-to-end loan closing process across 814 CRE’s active project pipeline. This role is responsible for tracking all outstanding loan items, coordinating across internal departments and external parties, and ensuring that each loan closes on time and in good order. Success in this role requires strong organizational skills, proactive communication, and the ability to manage multiple concurrent closings – each with unique lender requirements.

Responsibilities

• Manage loans from the initial due diligence process through final closing.
• Provide initial due diligence items required to kick off loans with lenders.
• Track all outstanding checklist items and follow up regularly with internal teams and external parties to keep closings on schedule.
• Communicate with lenders and lender counsel on outstanding checklist items and timing changes.
• Coordinate with the title company on closing timing and any required outstanding items.
• Work with appraisers to schedule property inspections and provide all required due diligence information.
• Work cross-functionally with the Construction, Development, and Legal departments to gather required items for each loan.
• Communicate with Construction on loan closing timing and outstanding items required from the general contractor.
• Update Smartsheet with outstanding items and key loan information, maintaining accurate and current records for all active closings.
• Track project approval timing in Smartsheet and communicate updates to all required parties.
• Update the finance pipeline with new information and status changes as they occur.
• Provide the team with regular status updates on current and prospective transactions.
• Other duties as required.

Requirements

• Strong organization and time-management skills; ability to manage multiple active loan closings simultaneously.
• Excellent interpersonal and written communication skills for coordinating across internal teams, lenders, counsel, title companies, and vendors.
• Familiarity with Smartsheet or similar project/pipeline tracking tools preferred.
• Positive attitude, strong work ethic, and ability to adapt to the unique requirements of each lender and transaction.
