Position Summary:

 

The Project Coordinator, HVMV supports the planning and execution of CS and NCS projects across the portfolio by coordinating schedules, field resources, project logistics, budgets, procurement, documentation, and closeout activities. This role provides project teams and department leadership with accurate, timely visibility into project status, costs, risks, and resource requirements while helping ensure projects are executed efficiently and consistently. The position works closely with Field Operations, Project Management, Procurement, Finance, Commercial, customers, vendors, and subcontractors to support successful project delivery.

Essential Duties and Key Responsibilities:

• Support field service teams with the planning, scheduling, execution tracking, and closeout of CS and NCS projects throughout the portfolio.
• Maintain the portfolio master schedule and individual project schedules, including milestones, dependencies, outage windows, customer approvals, crew availability, equipment needs, long-lead materials, mobilization dates, and target completion dates.
• Prepare and update weekly look-ahead schedules, project dashboards, action-item logs, risk and issue logs, milestone reports, and schedule variance summaries for department leadership and project managers.
• Coordinate field resources and project logistics, including internal technicians, subcontractors, travel, lodging, rental vehicles, site access, shipping and receiving, tools, test equipment, material staging, mobilization, and demobilization.
• Assist field team with project kickoff materials, scope breakdowns, work plans, task assignments, deliverable lists, meeting agendas and minutes, and follow-up on open actions.
• Maintain project budget trackers and forecasts; track labor, overtime, travel, materials, equipment rentals, freight, and subcontractor commitments and actual costs; promptly report budget variances and emerging cost risks.
• Support estimating and commercial administration by compiling cost inputs, routing CS/NCS approval packages, preparing purchase requisitions, establishing cost codes, tracking purchase orders, and maintaining change-order and billing support documentation.
• Review expense documentation, vendor invoices, receipts, and purchase-order balances for completeness, correct project coding, and alignment with the approved scope and budget before routing for approval.
• Coordinate procurement and vendor activities by requesting quotations, comparing pricing and lead times, supporting vendor onboarding, tracking submittals and purchase orders, and confirming delivery dates and material availability.

Essential Duties and Key Responsibilities (continued):

• Administer project work orders and CMMS records, ensuring accurate scope, status, scheduling, labor, material, service-report, billing, and closeout information.
• Maintain organized project files, including scopes of work, contracts and purchase orders, customer authorizations, schedules, MOP/JHA/QA documents, drawings, daily reports, service and test reports, photographs, signoffs, punch lists, and warranty records.
• Schedule and coordinate internal and customer project meetings; publish concise status updates, meeting notes, action owners, and due dates; and follow up until assigned actions are closed.
• Identify and escalate schedule conflicts, budget variances, resource constraints, material delays, site-access issues, scope changes, and other project risks to the responsible project manager or department leader.
• Coordinate with Field Operations, HSE, Procurement, Finance, Legal, Commercial, site teams, customers, and subcontractors as required to support project execution.
• Support project closeout by verifying completion documentation, tracking punch-list items, obtaining customer acceptance, reconciling final costs, assembling billing packages, documenting lessons learned, and archiving final records.
• Help standardize and improve project controls, scheduling tools, budget templates, status reporting, logistics checklists, and CS/NCS workflows to improve portfolio visibility and execution consistency.
• Perform other duties as assigned and provide support for short-notice or emergency projects when priorities change.

Other/Miscellaneous Tasks:

• Coordinate with vendors and subcontractors to support competitive pricing, timely delivery, and compliance with project requirements.
• Maintain accurate and confidential project, customer, vendor, and financial information.
• Travel to project sites or company offices on an as-needed basis to support coordination, mobilization, and closeout activities.

Education and/or Experience Requirements:

· Bachelor's degree in Business Administration, Project Management, Construction Management, Engineering, or a related field preferred; equivalent combination of education and experience may be considered.

· 3+ years of experience in project coordination, project administration, project controls, field operations, construction, energy, or a related industry.

· Experience supporting multiple projects simultaneously, including scheduling, resource coordination, procurement, cost tracking, and project documentation.

· Experience working with project schedules, budgets, purchase orders, work orders, invoices, and project reporting.

· Experience coordinating with field personnel, vendors, subcontractors, customers, and internal departments.

· Experience in solar, BESS, power generation, electrical, industrial services, or other technical field-service environments is preferred.

o Experience with CMMS, ERP, project management, scheduling, or financial systems preferred.

Physical Requirements / Work Environment:

· Ability to remain seated and work at a computer for extended periods.

· Frequent use of standard office equipment, including computers, keyboards, and communication devices.

· Ability to communicate effectively in person, by phone, and through virtual meeting platforms.

· Occasionally lift and move office materials weighing up to 20 pounds.

· Ability to work in a fast-paced environment with changing priorities and deadlines.

· Travel to customer and project sites, including occasional international travel, as business needs require.

· Must be legally authorized to work in the United States.

 

COMPENSATION: $58,000 - $66,500 salary
