Scheduling Coordinator

Description Create and maintain accurate caregiver schedules based on client needs, caregiver availability, skills, and preferences. Coordinate caregiver-to-client assignments and ensure appropriate staffing coverage. Fill open shifts and respond promptly to last-minute call-offs, cancellations, and schedule changes. Communicate schedule changes clearly and professionally with caregivers, clients, families, and office staff. Coordinate new client starts, caregiver assignments, and schedule updates. Monitor attendance and follow up on missed, late, or incomplete shifts. Maintain accurate scheduling records, documentation, and required updates in agency systems. Assist with caregiver onboarding, orientation scheduling, and related administrative follow-up. Answer incoming calls and provide professional, compassionate customer service. Work closely with Care Management, HR, and leadership to address staffing and scheduling needs. Provide general administrative assistance to the office as needed , including data entry, filing, document preparation, record updates, scheduling support, and other routine administrative tasks. Assist with organizing and maintaining office records, forms, and scheduling-related documentation. Follow agency scheduling procedures, policies, and documentation requirements. Identify scheduling or operational concerns and communicate them promptly to the appropriate team member. Support overall office operations as needed while maintaining primary responsibility for caregiver scheduling and coverage. Requirements Qualifications Previous scheduling, staffing, coordination, or administrative support experience preferred. Home care, healthcare, or medical office experience is a plus. Excellent communication, customer service, and interpersonal skills. Strong organizational and time-management abilities. Ability to multitask, prioritize responsibilities, and meet deadlines in a fast-paced environment. Strong attention to detail, accuracy, and follow-through. Proficiency with Microsoft Office, Google Workspace, and computer-based systems. Experience with electronic scheduling, home care, or healthcare software is a plus. Ability to provide general administrative support as needed , including data entry, filing, document preparation, record updates, and other routine office tasks. Reliable, professional, compassionate, flexible, and team-oriented. Ability to communicate effectively and professionally with clients, caregivers, families, and office staff. Ability to maintain confidentiality and handle sensitive client and employee information appropriately. Preferred Qualifications Experience working in a home care agency or healthcare environment. Knowledge of caregiver scheduling and client care coordination. Experience managing call-offs, open shifts, staffing changes, and schedule adjustments. Previous administrative or office support experience. Ability to build positive and professional relationships with caregivers, clients, families, and team members. Ability to step in and assist with general office needs when scheduling demands are met or additional administrative support is needed.
