The Role: Daily Laboratory Operations & Execution

The Lab Operations Supervisor is responsible for the day-to-day leadership, workflow management, and operational execution of all sterile and non-sterile compounding activities.

Reporting directly to the Lab Manager, this position serves as the operational leader of the laboratory floor, ensuring staffing, workflow, production priorities, quality processes, and daily expectations are executed consistently across all lab functions.

While the Lab Manager provides strategic oversight, coaching, project leadership, and departmental direction, the Lab Operations Supervisor owns daily execution and serves as the primary leader supporting technicians throughout the workday.

This role remains highly visible in lab operations, proactively addresses barriers to productivity, and ensures patients, providers, and internal departments receive timely, accurate, and high-quality service.

What You Will Actually Do (Day-to-Day & Ongoing)

Daily Laboratory Operations & Workflow Management

• Lead day-to-day operations across sterile and non-sterile compounding teams
• Establish daily production priorities and communicate expectations to laboratory staff
• Monitor workload, tote volume, turnaround times, order queues, and production capacity
• Make real-time staffing and workflow adjustments to maintain efficiency and service levels
• Oversee pod assignments and ensure appropriate staffing coverage across dosage forms
• Monitor rush orders and escalation priorities to ensure promise times are met
• Identify operational bottlenecks and implement immediate solutions
• Serve as the primary escalation point for day-to-day laboratory operational concerns
• Coordinate communication between production areas, pharmacists, patient care teams, and leadership

Frontline Leadership, Coaching & Accountability

• Provide visible leadership and support to all laboratory employees throughout the workday
• Conduct monthly one-on-one meetings with direct reports
• Deliver coaching, feedback, and development planning to support employee growth
• Monitor attendance, punctuality, and timekeeping practices
• Address performance, conduct, and attendance concerns promptly and consistently
• Complete employee evaluations and development plans in partnership with the Lab Manager and CPFO
• Prepare and deliver corrective action documentation in partnership with the CPFO
• Support succession planning and employee development initiatives
• Reinforce accountability, professionalism, and adherence to pharmacy policies and procedures

Staffing, Scheduling & Resource Management

• Create and maintain monthly schedules for laboratory employees
• Coordinate PTO requests, coverage needs, and staffing adjustments
• Ensure adequate staffing levels are maintained throughout all production areas
• Cross-train employees to increase operational flexibility and department resiliency
• Assist with recruiting, interviewing, hiring, and onboarding activities

Quality, Compliance & Regulatory Oversight (in partnership with the Director of Quality, Compliance, and Regulatory Affairs)

• Ensure compliance with USP standards, PCAB and NABP requirements, state board regulations, SOPs, and internal quality systems
• Oversee daily environmental monitoring programs and investigate out-of-specification results
• Ensure cleaning logs, quality records, and operational documentation are completed accurately and on time
• Coordinate incoming and outgoing QA/QC activities
• Monitor compliance with compounding, labeling, documentation, and workflow procedures
• Support internal audits, inspections, accreditation activities, and corrective action initiatives
• Escalate quality or compliance concerns to the Lab Manager when appropriate

Inventory, Equipment & Laboratory Resources

• Oversee inventory management activities for chemicals, supplies, and laboratory consumables
• Review inventory levels and ordering needs to ensure uninterrupted production
• Assist with vendor coordination and product sourcing activities
• Maintain and update ordering and inventory tracking tools
• Troubleshoot equipment issues and coordinate repairs or service as needed
• Ensure laboratory workspaces remain organized, clean, compliant, and production-ready

Training & Continuous Improvement

• Oversee onboarding and training programs for laboratory employees
• Partner with Senior Technicians and subject matter experts to maintain training programs
• Validate employee competency and readiness before independent work
• Conduct annual competency observations and assessments
• Track department KPIs and productivity metrics
• Use operational data to identify trends, coaching opportunities, and process improvements
• Support implementation of new systems, workflows, technology, and department initiatives

Communication & Department Coordination

• Lead daily huddles and regular department meetings
• Create agendas, document meeting notes, and drive follow-through on action items
• Communicate operational priorities, goals, and performance expectations clearly
• Facilitate effective communication between sterile, non-sterile, pharmacy, quality, and patient care teams
• Escalate operational risks and resource needs to the Lab Manager proactively

Team Structure You Lead

• Direct Reports: Lead Pharmacy Technicians, Senior Pharmacy Technicians, Pharmacy Technicians, and Lab Support Technicians
• Leadership Partners: Lab Manager, Director of Quality, Compliance, & Regulatory Affairs, and CPFO
• Manager: Lab Manager

This is a hands-on operational leadership role responsible for daily laboratory execution across all compounding functions.

Background That Translates Well

• Arizona Pharmacy Technician License in good standing
• National Pharmacy Technician Certification (PTCB or ExCPT)
• Advanced sterile and non-sterile compounding experience required
• Demonstrated leadership experience within a compounding pharmacy environment
• Strong understanding of USP <795> , USP <797> , USP <800> , and PCAB and NABP accreditation standards
• Experience managing workflow, staffing, quality systems, and operational priorities
• Strong conflict resolution, coaching, and performance management skills
• Advanced computer skills including spreadsheets, reporting tools, and operational tracking systems
• Excellent communication, organization, and problem-solving abilities
• Ability to lead effectively in a fast-paced, highly regulated healthcare environment
