Director of Human Resources & Administration

The Don Moyer Boys & Girls Club is seeking an experienced, highly organized leader to serve as Director of Human Resources & Administration. This role consolidates human resources leadership and business administration into a single position on the leadership team, reporting directly to the CEO. The Director owns the full HR function for the organization while also ensuring administrative operations run smoothly across the Club's two sites and administrative building, directing the work of a HR & Administrative Coordinator who carries out the day-to-day administrative, resource development/finance support, and HR support tasks. This role carries direct oversight of confidential personnel and financial matters and requires sound judgment, discretion, and the ability to manage competing priorities across HR, finance support, and daily administrative operations.

Team Supervision

  • Directly supervise the HR & Administrative Coordinator, assigning and reviewing day-to-day administrative, resource development/finance support, and HR support tasks.
  • Provide coaching, feedback, and ongoing direction to ensure the Coordinator's work meets organizational standards and deadlines.

Leadership Team Participation

  • Serve as an active member of the senior leadership team, contributing to organization-wide strategic planning, budgeting, and cross-department collaboration.

Human Resources Leadership

  • Own the full employee lifecycle: recruitment, job postings, candidate screening, interviewing, and offer letters, with day-to-day onboarding paperwork and materials prepared by the HR & Administrative Coordinator.
  • Serve as the primary resource for employee relations, addressing inquiries and supporting conflict resolution while maintaining strict confidentiality on all personnel matters.
  • Maintain accurate employee records, administer benefits, and ensure HR practices comply with local, state, and federal regulations.
  • Lead the performance management process, including appraisals and compensation review, and partner with leadership on staff development planning.
  • Prepare and respond to Worker's Compensation and unemployment claims, and manage the electronic personnel file database.
  • Direct orientation and training session logistics carried out by the HR & Administrative Coordinator, and review employee progress through onboarding.
  • Serve as the final reviewer and approver of employee and volunteer background check results routed by the HR & Administrative Coordinator, ensuring screening complies with all applicable requirements.
  • Maintain overall accountability for the Club's volunteer program, with the HR & Administrative Coordinator supporting application routing and background check processing.
  • Develop, maintain, and update the employee handbook and HR policies to reflect current employment law and organizational needs.
  • Oversee workplace safety protocols and risk management practices, including insurance coordination, to support a safe environment across Club sites.

Board Support

  • Prepare and distribute meeting packets for the Board of Directors and its committees.
  • Take minutes and manage logistics for Board and committee meetings.
  • Maintain official Board records, including bylaws, rosters, and the meeting minutes archive.
  • Provide HR-related compliance documentation and reporting to the Board or its committees (e.g., Personnel/HR Committee) as requested.

Business Administration & Facilities

  • Direct day-to-day administrative office operations carried out by the HR & Administrative Coordinator, including front-desk coverage, phone and visitor management, supplies, and equipment.
  • Ensure the employee directory is maintained and the Club's general email account(s) are monitored and addressed.
  • Oversee facility arrangements and maintenance appointments coordinated by the HR & Administrative Coordinator across the Club's two sites and administrative building.
  • Oversee resource development and finance support functions carried out by the HR & Administrative Coordinator: processing and reconciling gift pledges and payments, donor correspondence and receipts, year-end donor tax documentation, and bank deposits and reconciliation.
  • Track grant deadlines, assist with report preparation, and maintain compliance documentation required for Boys & Girls Clubs of America (BGCA) membership.
  • Review and approve bi-weekly payroll for accuracy.
  • Direct Coordinator support and provide oversight at Club fundraising events, including U of I football parking, Dancing with the Stars, Fashion for Great Futures, and the annual golf outing.

Additional Responsibilities

  • May support direct youth programming as needed.
  • May be required to operate a Club vehicle.
  • Ability to tolerate outdoor temperatures during events.
  • Capable of lifting up to 50 lbs.
  • Other duties as assigned by the CEO.

Qualifications

  • Bachelor's degree required; Master's degree preferred. Equivalent professional experience considered.
  • A minimum of 5 years of progressive HR and administrative experience.
  • Experience supervising or directing the work of administrative or support staff preferred.
  • Strong working knowledge of HR functions, employment law, and compliance requirements.
  • Demonstrated ability to maintain strict confidentiality across HR and financial matters.
  • High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational, technological, and problem-solving skills, with the ability to manage multiple priorities independently.
  • Excellent written and verbal communication skills.
  • A high degree of professionalism, discretion, and integrity.

  • Health, Dental, and Vision Insurance: Comprehensive coverage for eligible full-time employees, with DMBGC covering 100% of individual health insurance premiums. Dependent coverage is available via payroll deduction. Coverage begins the first of the month after 30 days of employment.
  • Paid Time Off: Two weeks of vacation earned annually, 11 paid holidays, and sick time accrual at 1.85 hours per pay period.
  • Retirement Plan: DMBGC contributes 10% of your annual salary to a pension account after one year of continuous employment. Employees are fully vested after three years. Voluntary 403(b) contributions are also available.
