Why Our Receptionist Is Important:

Our Receptionist plays a crucial role as the first point of contact for visitors and callers, representing HEMIC in a positive, professional manner. By managing phone communications and a variety of administrative tasks, this role ensures the smooth operation of the reception area. With every interaction, our Receptionist uses a welcoming demeanor to create a lasting impression that reflects HEMIC's commitment to caring for our people and our community.

Essential Duties

  • Customer Interaction:
    • Be a positive and professional representative of HEMIC, ensuring all interactions reflect the company's values.
    • Greet and direct visitors pleasantly and professionally upon their arrival.
    • Assist visitors with parking, access badges, and meeting room assignments.
  • Call Handling:
    • Operate the multi-line phone system efficiently, directing calls to the appropriate departments or individuals.
    • Utilize internal tools and systems to quickly route calls.
  • Mail and Shipping:
    • Accept, sort, and process incoming mail and hand-delivered documents, ensuring prompt delivery to correct recipients.
    • Log all incoming checks and cash payments accurately.
    • Work with mailing and shipping vendors for incoming and outgoing shipments.
    • Monitor and schedule outgoing shipments as required.
  • Administrative Support:
    • Accept and distribute incoming faxes to appropriate departments.
    • Monitor and manage meeting room schedules.
    • Assist in maintaining the professional appearance of the reception area.
  • Other Responsibilities:
    • Assist with additional clerical duties as needed, such as filing, photocopying, and data entry.
    • Support internal office events and meetings by coordinating with office staff.

Requirements

  • High school diploma or equivalent. Associate's degree or higher (preferred).
  • Previous experience in a receptionist or customer service role (preferred).
  • Strong organizational and multitasking skills.
  • Excellent verbal communication and interpersonal skills.
  • Ability to maintain a positive and professional demeanor especially under pressure.
  • Proficiency with Microsoft Office Suite.
  • Experience with multi-line phone systems.
  • Punctual and dependable with a strong attendance history.
  • Light lifting may be required (up to 20 lbs.).
  • Full-time, in-person, Monday to Friday (7:30 AM 4:30 PM).
