Job Title : Front Desk Check In & Out Coordinator/Prior Authorizations

Supervisor’s Title : Office Administrator

Job Description Summary :

Full-time position.  As a Front Desk Check In & Out Coordinator / Prior Authorizations, you will project a positive, professional first impression to all our patients, referring physicians’ offices and other medical professionals by greeting and attending to them in a courteous and professional manner. Front Desk primary duties include but are not limited to patient registration and check in/check out, obtaining patient demographics and insurance benefits, referrals, and eligibility information, collect co-pays and payments, answering phones, appointment scheduling and data entry. The Prior Authorization duties include but are not limited to scheduling labs, ultrasounds, echocardiograms, and port placements/removals, CT Scans, MRIs, and PET Scans.

Check In Job Responsibilities :

1.          Provides front desk coverage.

2.          Promptly greet, register and assist patients as appropriate. Notifying employees of patient’s arrival. Directs visitors to appropriate waiting areas, and appropriately screens solicitors for relevance to organization needs.

3.          Promptly and professionally answer incoming telephone calls in a courteous manner; being able to process and understand what the phone call is regarding routing calls appropriately, offering voice mail or redirection of calls and/or take and accurately document messages as needed. Monitor answering machine messages as required.

4.          Patient registration and check in/check out in eClinical Works (eCW) in a timely fashion.

5.          Properly record and collect patient balances, co-payments, and deductible payments on the patient’s account.

6.          Obtain and enter new and existing patient demographics and insurance benefits, referrals, and eligibility information and update patient’s eCW.

7.          Scanning driver’s License and Insurance Cards.

8.          Place reminder calls to patients to verify appointments.

9.          Contact patients to reschedule canceled appointments.

10.    Respond to all phone call voicemail messages and/or e-mails within a 24 hour period.

11.    End of Day Reports – includes balances daily cash batches and cash drawer; prepares daily deposits.

12.    Relay information to patients regarding preparation for labs, diagnostic imaging.

13.    Willingness to cross train to provide assistance for other departments.

14.    Maintain a clean, orderly and professional appearance of the front desk, personal work space and the main reception/waiting room area.

15.    Other duties as assigned.

Check Out Job Responsibilities :

1.          Answering phones.

2.          Check out patients.

3.          Schedule labs and imaging.

4.          Call insurances for authorization of imaging.

5.          Other duties as assigned.

Prior Authorizations Responsibilities :

1.          Scheduling thyroid and pelvic ultrasounds.

2.          Scheduling echocardiograms.

3.          Scheduling port placements and removals.

4.          Scheduling CT scans and getting prior authorization.

5.          Scheduling MRIs and getting prior authorization.

6.          Scheduling PET scans and getting prior authorization.

Job Qualifications:

Education:

o  High School Diploma, GED or equivalent.

Knowledge, Skills, and Abilities Required:

o  Minimum 2 year healthcare experience or equivalent education required.

o  Advanced computer skills including Microsoft Office products and Electronic Health Record software.

o  Ability to communicate with physicians, patients, and associates on a professional level.

o  Knowledge of medical terms and treatment orders relating to complex medical procedures.

o  Excellent patient service skills.

o  Experience/knowledge of oncology and/or chemotherapy processes is desired.

o  Experience with eClinical Works EMR is desired.

o  Bilingual language skills are desired.

Physical Requirements :

Work is performed in an interior medical/clinical environment. Limited physical activity. Work is mostly sedentary. Requires handling of average-weight objects up to 10 pounds.
