Facilities Operations Manager

Job Description:

Oversees the daily field operations of campus facilities maintenance and repair activities to ensure a safe, functional, and well-maintained university environment. Establishes work priorities and schedules to ensure maintenance, repairs, work orders and projects are completed in a safe and productive manner. Supervises Building Attendants and Facilities Coordinator.

Essential Duties and Responsibilities include but not limited to:

• Coordinate daily activities of custodial staff, grounds personnel, and/or skilled trades employees.
• Assign, prioritize, and monitor work orders and preventative maintenance tasks using the university's computerized maintenance management system.
• Supervise, train, and coordinate workflow for Building Attendants, including but not limited to: cleaning, sanitizing, dusting, polishing, floor care, and other major cleaning or special assignments and Facilities Coordinator.
• Monitor and inspect work in progress, relay task objectives, and ensure that work is performed in compliance with instructions and meets quality standards; provide updates on assignments.
• Maintain custodial equipment and supplies, monitor inventory levels, coordinate replenish with warehouse, and ensure proper use and storage of cleaning products, equipment, and other supplies.
• Identify building maintenance problems; prepare and submit work orders as needed; report unusual problems or difficulties to director of facilities management, and coordinate custodial activities with other maintenance and operations functions.
• Ensure timely completion of maintenance and repair projects while maintaining quality standards and operational efficiency.
• Coordinate with outside contractors and vendors to ensure work is completed according to specifications, schedules, and budget requirements.
• Train, mentor, and evaluate assigned personnel; recommend corrective actions and professional development opportunities as needed.
• Maintain accurate records related to labor (including schedules and timecard review/approval), materials, equipment usage, inspections, and maintenance activities.
• Support planning and implementation of campus renovation, relocation, and special event setup projects.
• Participate in budget monitoring and inventory management for tools, supplies, and equipment.
• Monitor and enforce compliance with university policies, OSHA regulations, environmental standards, and safety procedures.
• Respond professionally to service requests and maintain positive working relationships with students, faculty, staff, and visitors.
• Take rotation in after-hour emergency calls from Campus Safety; calling in appropriate personnel to address issue.
• Attend meetings with other departments on campus as needed
• Perform other relevant duties as assigned, such as special projects, programs, and developmental activities.
• Demonstrate support for community and belonging, as well as participate in maintaining a respectful, positive work environment.

Requirements:

• Associate degree, trade certification or equivalent experience.
• Prior supervisor experience.
• Prior project management experience.
• 2 or more years' experience performing residential and commercial building inspections including providing verbal and written feedback.
• 2 or more years of hands-on experience in building maintenance and custodial operations.
• Experience managing preventative maintenance programs.
• Experience with work order systems.
• Experience with industrial safety practices, standards, and use of PPE
• Proficiency with MS Office Suite (primarily Word, Excel, and Teams)
• Common knowledge of building support systems on campus including but not limited to electrical, HVAC, elevators, generators, fire alarms, etc.
• Thorough understanding of relational functions between trades, custodial and grounds.
• Must be able to successfully pass all background checks as applicable to the position
