Under the direction of the Controller & Director of Accounting, the Administrative Coordinator is responsible for broad overarching support for the Member Services, Facilities, Staff Resources and Finance Departments. This role supports the day-to-day responsibilities of USEF with administrative duties including, but not limited to, providing incoming/outgoing mail support, managing general office supplies, proofreading department communications, managing overall department schedules, supporting special projects and initiatives, front desk/reception coverage and the processing of invoices and payments.
Duties and Responsibilities:
- Support the USEF lobby/reception area
- Sort, distribute, and manage all incoming/outgoing mail and packages for the Federation.
- Assist in preparing bulk mailings, including awards, promotional materials, tax documents or other official correspondence.
- Monitor inventory levels of general office supplies, consumables and equipment.
- Proactively order supplies, tracking expenses and maintaining vendor relationships.
- Assist with the processing of member payments and invoicing.
- Assist in the preparation of presentations, reports, spreadsheets, and other project-related documents.
- Support special projects, events, or other ad-hoc duties as assigned.
- Ensure compliance with USEF policies and procedures.
Required, Knowledge, Skills & Abilities:
- Excellent verbal and written communication skills required.
- Organized and detail-oriented with a commitment to accuracy and confidentiality.
- Ability to work independently and collaboratively in a fast-paced environment.
- Positive attitude, reliability, and a proactive approach to problem-solving.
- Proficient in the use of Microsoft Office applications (Excel, Word, Outlook, PowerPoint…)
Education and Experience:
- A degree or minimum of two years of relevant experience is preferred.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 10 pounds and occasional lifting and/or moving up to 25 pounds. (Anything over 25 pounds requires a two person lift).
