Position Summary
We are seeking a professional, organized, and customer-service-oriented Front Desk Receptionist to support the daily operations of our clinical research site. This individual will serve as the first point of contact for patients, study participants, sponsors, and visitors while helping to ensure a welcoming, efficient, and professional environment.
The ideal candidate is detail-oriented, dependable, and comfortable managing front desk responsibilities in a fast-paced healthcare and clinical research setting. In addition to reception and scheduling duties, this role will provide administrative and operational support to clinical and research teams as needed.
Key Responsibilities:
- Greet and check in patients, visitors, sponsors, and study participants in a professional and welcoming manner
- Ensure patient registration, consent forms, demographic information, and required documentation are complete and accurate
- Schedule, confirm, and coordinate patient and study-related appointments to support efficient clinic and research operations
- Answer incoming calls, respond to inquiries, and route communications appropriately in a timely and professional manner
- Support front desk and administrative operations to ensure a positive patient and participant experience
- Coordinate with clinical, administrative, and research staff to manage patient flow and minimize wait times
- Assist with patient check-out, follow-up scheduling, and visit-related documentation
- Process and manage medical records requests in accordance with company policy and HIPAA requirements
- Maintain accurate electronic records, including timely scanning, filing, and organization of documentation within company systems
- Prepare daily schedules and assist in ensuring appointments and study visits are operationally ready
- Maintain a clean, organized, and professional reception and front desk environment
- Safeguard patient confidentiality and ensure compliance with HIPAA, GCP, and applicable privacy regulations
- Communicate effectively with providers, coordinators, sponsors, CROs, and internal staff to support seamless clinic and research operations
- Provide administrative support to clinical research activities under the direction of research staff and site leadership
- Assist with participant-facing aspects of clinical research studies, including scheduling, appointment coordination, and general administrative support
- Support operational projects, process improvement initiatives, and additional administrative duties as assigned
- Participate in team meetings, trainings, and ongoing operational development initiatives
- Perform other duties and responsibilities as assigned to support clinic, research, and operational needs
