Transportation Compliance Specialist
We are seeking a highly organized and detailoriented Transportation Compliance Specialist to centralize and oversee all regulatory, tax, and documentation compliance for our fleet operations. This role ensures full adherence to federal, state, and local transportation regulations while managing critical compliance programs such as DOT, IFTA/IRP, HVUT, Clearinghouse, insurance, and risk management.
This position is ideal for someone who thrives in a structured environment, understands transportation regulations, and can build a unified compliance system across multiple locations.
Key Responsibilities:
Regulatory Compliance & DOT Oversight
- Maintain full compliance with FMCSA and DOT regulations , including driver qualification files, hoursofservice, and vehicle safety requirements.
- Develop, maintain, and execute a DOT audit checklist ; prepare for internal and external audits.
- Manage FMCSA Clearinghouse responsibilities, including preemployment queries, annual checks, and reporting.
- Track and manage Medical Cards (Med Cards) , renewals, and documentation.
- Ensure compliance with PERS (Personnel/Employee Record System) requirements related to transportation.
Fleet Licensing, Documentation & Certifications
- Oversee all vehicle registrations, titles, plates, and licensing for company vehicles.
- Manage and submit MCS150 updates and other federal filings.
- Centralize motor carrier certifications , ensuring consistent processes across all locations.
- Maintain compliance tracking for support vehicles , not just primary fleet assets.
- Ensure accurate and timely management of all legal documentation.
Tax & Reporting Compliance
- Prepare and file IFTA fuel tax reports and maintain supporting documentation.
- Manage IRP apportioned registration renewals and reporting.
- Oversee Heavy Vehicle Use Tax (HVUT) filings and payments.
- Support and manage transportationrelated company tax filings .
Risk Management & Insurance Oversight
- Maintain and distribute insurance cards for all vehicles.
- Oversee insurance claims , ensuring timely reporting, documentation, and followup.
- Collaborate with internal teams to identify compliance risks and implement corrective actions.
Fuel & Expense Compliance
- Manage fuel card programs , including issuance, monitoring, fraud prevention, and reconciliation.
- Ensure fuel usage aligns with IFTA reporting and internal controls.
Documentation Control & Centralization
- Develop and maintain a centralized compliance system for all transportationrelated documents.
- Standardize compliance processes across all company locations.
- Maintain digital and physical records in accordance with regulatory retention requirements.
CrossFunctional Collaboration
- Partner with operations, HR, safety, and finance teams to ensure compliance across all transportation activities.
- Provide training and guidance to internal teams on compliance requirements and best practices.
Qualifications
- Experience in transportation compliance, fleet management, or a related regulatory role.
- Strong knowledge of DOT, FMCSA, IFTA, IRP, HVUT , and motorcarrier regulations.
- Exceptional organizational and documentationmanagement skills.
- Ability to interpret and apply regulatory requirements.
- Strong analytical, reporting, and problemsolving abilities.
- Experience with compliance software, fleetmanagement systems, or taxreporting tools preferred.
