Customer Supply Management Specialist

As a Customer Supply Management Specialist, you will play a key role in supporting the order fulfillment process from start to finish. This position is responsible for providing professional customer service to Ruiz Foods customers, brokers, and internal partners while ensuring customer orders, EDI transactions, invoicing, returns, shortages, damages, deductions, and related documentation are handled accurately and on time. The ideal candidate brings strong order management experience, excellent follow-through, and the ability to work closely with Sales, Transportation, Warehouse, Supply Chain, and other cross-functional teams to deliver a seamless customer supply chain experience.

WHAT YOU’LL DO :

• Serve as a daily point of contact for customers, Sales, Transportation, Warehouse, and Supply Chain teams.
• Own the day-to-day execution of customer orders, including order tracking, proof of delivery, returns, shortages, damages, deductions, and accurate customer invoicing.
• Partner with Sales territories to support customer service level agreements and ensure customer expectations are met or exceeded.
• Create a positive customer experience by delivering responsive, professional service and proactively identifying opportunities to improve transportation, fulfillment, forecasting, and demand-related processes.
• Process and maintain customer orders for terms and conditions compliance, including invoicing accuracy and required documentation.
• Use system reports and available tools to monitor order exceptions, manage sales order compliance, and troubleshoot issues according to established protocols.
• Research and facilitate resolution of price discrepancies, customer deductions, and check requests, including validation of supporting documents in accordance with department standard operating procedures.
• Respond to customer inquiries in a timely and complete manner, including customer invoicing questions and investigation of invalid deduction trends.
• Monitor critical customer supply chain metrics, including response time, case fill, and on-time delivery.
• Support strategies and programs that improve customer service, reduce cost to serve, and strengthen internal processes.
• Collaborate with cross-functional teams to align on daily priorities and resolve customer supply chain issues quickly and effectively.
• Generate customer supply chain reports, review account status regularly, and complete other duties as assigned by the Team Supervisor.
• Assist with dispatching shipments to customers in a cost-efficient and timely manner through effective decision-making, problem-solving, and teamwork with Supply Planning, distribution centers, and transportation partners.
• Contribute to achieving and exceeding team goals and objectives.

WHAT WE’RE LOOKING FOR :

• 3–7 years of experience in Customer Service, Supply Planning, Order Management, Logistics, or a related supply chain function.
• Experience in CPG, ERP systems, trade spend, customer deductions, invoicing, or order compliance is strongly preferred.
• Bachelor’s degree preferred, but not required.
• Experience working with retail, food service, convenience store buyers, distributors, and/or brokers preferred.
• Strong ability to navigate computerized systems for tracking, exception management, analysis, troubleshooting, and process compliance.
• Experience with Order Management or ERP systems, 3PL shipping locations, EDI, online vendor portals, databases, software systems, and Microsoft Office, especially Excel.
• Excellent verbal and written communication skills with a customer-first approach.
• Strong organizational skills, time management, follow-through, and attention to detail.
• Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and professionalism.
• Infor M3 Cloud experience is a plus.
