Studio Coordinator

Core Arts Pilates is looking for an organized, personable studio coordinator to manage the day-to-day administrative and logistical operations of our classical Pilates and GYROTONIC ® studio in Anaheim Hills. This is a front-of-house role. You'll be the first point of contact for clients and staff, keeping the studio running smoothly, on schedule, and consistent with our standards of care. You'll work closely with the instructors and studio leadership to manage scheduling, billing, and the day-to-day details that let our team focus on teaching. What You'll Do Front Desk & Client Experience Manage incoming calls and client walk-ins with a professional, warm, and attentive manner Serve as a consistent, welcoming point of contact for clients and staff Scheduling Schedule and confirm client appointments Maintain instructor schedules based on client bookings and instructor availability Process client billing and payments through Mindbody Monitor outstanding balances and follow up on overdue payments in a professional manner Help maintain the studio's clean, calm, presentation-ready environment Staff Coordination Work with the managing partner, director, and other staff on planning studio activities Support onboarding of new instructors, apprentices, and staff Help enforce studio policies consistently Confidentiality Given the trust placed in Core Arts by clients and partner dance studios, discretion with client and staff information is essential to this role Other duties as assigned What You Bring Excellent written and verbal communication skills (required) Proven experience as a studio manager, front office manager, or administrative assistant Prior experience at a Pilates, yoga, or other fitness studio is a plus Proficiency in Mindbody or comparable client management software is a plus Proficiency in Microsoft Office, particularly Excel and Word (required) Strong time management skills, with the ability to multitask and prioritize Strong organizational skills, attention to detail, and problem-solving ability Compensation Commensurate with experience.
