Dental Business Assistant

Smile HQ Dental & Orthodontics is a family-friendly / cosmetic / pediatric / general dental practice dedicated to providing exceptional patient care in a warm, welcoming environment. We’re looking for a friendly, organized, and detail-oriented Business Associate to be the first point of contact for our patients and a key part of our team.

About the Role

As our Business Assistant, you’ll manage the day-to-day administrative operations of the practice, ensuring patients have a seamless experience from check-in to check-out. You’ll be the face and voice of our office — greeting patients, managing schedules, handling insurance and billing tasks, and supporting our clinical team to keep things running smoothly.

What You’ll Do

• Greet and check in/out patients with a warm, professional demeanor
• Answer phones, schedule and confirm appointments, and manage the practice calendar
• Verify dental insurance benefits and eligibility
• Process patient payments, co-pays, and outstanding balances
• Maintain accurate patient records in the practice management software
• Coordinate referrals and communicate with specialists’ offices as needed
• Manage recall and reactivation lists to keep the schedule full
• Handle patient inquiries via phone, email, and in person
• Maintain a clean, organized, and welcoming front office
• Support office operations and basic administrative tasks

What We’re Looking For

• High school diploma or equivalent required; associate degree a plus
• 1+ years of front desk experience in a dental or medical office preferred
• Familiarity with dental insurance and billing processes
• Experience with dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental) a plus
• Excellent communication and interpersonal skills
• Strong organizational skills and attention to detail
• Ability to multitask in a fast-paced environment
• A positive, patient-first attitude and genuine team player mindset
