Position Summary
This position is a key member of Reliable Technologys Executive Team. The EXECUTIVE ASSISTANT/RECRUITER is responsible for managing calendars, scheduling meetings, and managing inboxes for executives. They must handle confidential information with discretion and professionalism. Additionally, they must source, screen, and interview candidates through various channels (job boards, social media, networking), coordinate and schedule interviews, manage applicants and maintain accurate recruitment records.
Key Responsibilities
Executive Support
- Manage complex executive calendars, including scheduling meetings, prioritizing commitments, and resolving conflicts
- Coordinate internal and external meetings, including preparing agendas, materials, and follow-ups
- Manage executive email inboxes, including drafting responses, prioritizing communications, and ensuring timely follow-up
- Handle confidential and sensitive information with a high level of discretion and professionalism
- Assist with special projects, reporting, and administrative tasks as needed by the executive team
Recruiting & Talent Acquisition
- Source candidates through job boards, social media platforms, referrals, and networking channels
- Screen resumes, administer assessments (Criteria Corp) and conduct initial candidate interviews to assess qualifications and cultural fit
- Coordinate and schedule interviews between candidates and hiring managers
- Maintain and update applicant tracking systems and recruitment records accurately
- Communicate with candidates throughout the hiring process to ensure a positive candidate experience
- Partner with leadership to understand hiring needs and support workforce planning efforts
Operations & Coordination
- Support onboarding coordination for new hires, including scheduling, documentation, and communication
- Maintain organized records, files, and documentation related to both executive operations and recruitment
- Assist in improving processes and workflows to increase efficiency across administrative and recruiting functions
Daily Tasks
- Attend daily huddles
- Maintain accurate individual calendar

Qualifications
Job Requirements
- Education: Bachelors degree in Business Administration, Human Resources, or related field preferred.
- 1+ years of combined recruiting and administrative experience
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Office Suite and familiarity with applicant tracking systems.
- Ability to handle multiple priorities and meet deadlines.
