Account Representative / Sales Support

The Account Representative is primarily responsible for assisting the Account Manager with the procurement and sales process for customer orders. The position also supports the company's general operational and commercial business activities.

Responsibilities include the following. Other duties may be assigned.

Customer Experience

• Support the Account Manager with the day-to-day operational management of assigned customer accounts, ensuring accurate and timely communication related to customer orders.
• Assist customers with quotations, order status, order changes, account information, contact information, and other inquiries.

Operational and Order Management

• Process customer quotations and sales orders in Dynamics 365, ensuring accuracy and completeness.
• Monitor assigned orders throughout the order lifecycle and maintain accurate transaction records within company systems.
• Coordinate with Procurement, Logistics, Finance, and other internal departments to support timely order fulfillment.
• Prepare and review required order, shipping, and invoicing documentation in accordance with company procedures.
• Proactively identify and communicate order discrepancies, delays, or issues and assist with timely resolution.
• Support continuous-improvement initiatives by following established processes and maintaining data integrity within company systems.

Regulatory Requirements

• Complete the required Anti-Corruption and Anti-Bribery course.
• Successfully complete all assigned training.

Education and Training

• Bachelor's degree in Business Administration or a related field preferred.
• An associate degree or equivalent relevant work experience may be considered.

Qualifications and Experience

• One to three years of experience in customer service, order processing, sales support, or administrative operations.
• Experience with ERP systems or business software preferred; Dynamics 365 experience is a plus.
• Proficiency in Microsoft Office, including Outlook and Excel.
• Bilingual English and Spanish communication skills, both written and verbal.
• Strong data-entry and organizational skills.

This position has no supervisory responsibilities.

Work Environment

This position operates in a professional office environment and routinely uses standard office equipment, including computers, phones, photocopiers, filing cabinets, and fax machines.
