Medicaid Coordinator

The Medicaid Coordinator is responsible for coordinating and managing the Medicaid application, eligibility, renewal, and documentation processes for residents receiving or applying for Medicaid benefits. This position works closely with residents, families, authorized representatives, facility staff, and local/state Medicaid agencies to help ensure timely eligibility determinations and continued coverage. The Medicaid Coordinator also assists in protecting the facility's financial interests by monitoring pending Medicaid accounts, identifying missing documentation, following up on applications, and communicating potential eligibility or payment concerns to appropriate leadership.

Schedule: Full-Time, Weekdays, 8:00 - 5:00

Essential Duties and Responsibilities:

• Coordinate the Medicaid application process for residents who require financial assistance with long-term care expenses.
• Meet with residents, family members, responsible parties, or authorized representatives to explain Medicaid application requirements and obtain necessary documentation.
• Gather and review financial documents, including bank statements, income verification, insurance information, asset documentation, and other records required for Medicaid eligibility.
• Submit Medicaid applications and supporting documentation accurately and within established deadlines.
• Track all pending Medicaid applications and maintain detailed records of application status, outstanding documentation, deadlines, and agency communications.
• Communicate regularly with Medicaid eligibility workers and other appropriate agencies regarding pending applications, requests for additional information, approvals, denials, and changes in eligibility.
• Follow up with residents and responsible parties regarding missing or incomplete documentation.
• Assist with Medicaid renewals/redeterminations to prevent unnecessary interruptions in resident coverage.
• Review Medicaid notices and communicate important changes or required actions to residents, responsible parties, and appropriate facility personnel.
• Monitor resident liability, patient pay amounts, spend-down requirements, and other Medicaid-related financial obligations as applicable.

Requirements:

• High school diploma or GED required.
• Associate's or bachelor's degree in healthcare administration, business administration, finance, social services, or a related field required.
• Minimum of 1 year of previous experience with Medicaid eligibility, long-term care billing, healthcare administration, patient financial services, or a related area is required.
• Experience working in a skilled nursing facility or long-term care environment is highly desirable.
• Knowledge of Medicaid application and eligibility processes preferred.
• Strong organizational and documentation skills.
• Ability to manage multiple applications, deadlines, and follow-up requirements simultaneously.
• Strong attention to detail and accuracy.
• Effective written and verbal communication skills.
• Ability to communicate professionally and compassionately with residents and families regarding sensitive financial matters.
• Ability to interpret Medicaid correspondence, eligibility requirements, and financial documentation.
• Strong problem-solving and follow-up skills.
• Ability to work independently while collaborating with an interdisciplinary team.
• Proficiency with Microsoft Office and electronic healthcare, billing, or financial management systems.
• Ability to maintain confidentiality and handle sensitive financial and personal information appropriately.
