Under the general supervision of the Associate Dean of Student Affairs/Director of Residence Life, this position provides administrative support to the Associate Dean of Student Affairs/Director of Residence Life, Assistant Directors of Residence Life, and Program Assistant. The role manages the resident housing database (RMS), college assignments, and room selection process; it is responsible for key and electronic keycard management and security for all residents, including facility keys and keycards; maintains confidential student information and records; coordinates follow‑up related to judicial paperwork; coordinates the residence life office; oversees the resident mail room and package distribution; assists in the preparation and execution of Muir College student move‑in and move‑out; coordinates and schedules the use of conference room facilities; manages the Residence Life office email account and webpage, and performs general administrative functions. Work Schedule Office hours are from 8 am to 4:30 pm, Monday through Friday, during the academic year and summer/quarter breaks. The position requires occasional evening or weekend work in support of programs and opening/closing of residence halls and apartments, including weekends in September and June. Qualifications Experience working in an office/administrative setting, preferably in a college or university environment. Knowledge of residential housing operations in a university setting. Demonstrated experience with business productivity applications including, but not limited to, Word, PowerPoint, Outlook, Publisher, and Excel. Experience with or ability to quickly learn a Content Management System (CMS) for website updates. Proficient proofreading and preparation of correspondence with correct grammar, punctuation, spelling, and standard business format. Proven ability to initiate and track issues and follow‑up to ensure timely completion of projects. Effective interpersonal and verbal communication skills with the ability to clearly, courteously, and diplomatically communicate information to a diverse group of people (students, parents, staff, and the community) in person, on the telephone, and via e‑mail in a professional manner. Ability to organize and meet deadlines in a timely manner, handle changing priorities, and work well under pressure. Skill to coordinate a high‑volume workload with frequent interruptions and conflicting priorities. Ability to develop, organize, and manage systems for the coordination of student information and confidential files. Ability to work in a team environment, remain attentive to ideas, recognize responsibilities, and actively participate with others to accomplish assignments and achieve desired goals. Demonstrated ability to exercise independent judgment, discretion, initiative, tact, and diplomacy in handling sensitive matters and maintaining strict confidentiality. Skilled in using general office equipment including laptop, desktop computer, projector, fax machine, scanner, copy machine, etc. Ability to maintain acceptable work habits, demeanor, attention to detail, punctuality, and regular attendance. Special Conditions Background check required. Pay Transparency Act Annual Full Pay Range: $53,160 - $75,335 (will be prorated if the appointment percentage is less than 100%). Hourly Equivalent: $25.46 - $36.08. Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position.
